Job Title: Hotel Front Desk Agent/ReceptionistKey Responsibilities:

Guest Check-In and Check-Out:

Greet and welcome guests in a friendly and professional manner.

Register guests, assign rooms, and provide key cards.

Process check-outs efficiently, ensuring all charges are accurate.

Handle reservations and cancellations.

Customer Service:

Address guest inquiries, concerns, and special requests.

Provide information about hotel services, amenities, and local attractions.

Handle guest complaints or issues promptly and professionally, escalating them as needed.

Reservations Management:

Take reservations by phone, email, or in person.

Verify room availability, booking details, and special requests.

Maintain the reservation system, ensuring accurate records and updates.

Billing and Payments:

Process payments for room rates, additional services, and incidentals.

Issue receipts, refunds, and ensure correct billing.

Handle cash, credit card transactions, and maintain financial records.

Communication and Coordination:

Maintain communication with housekeeping, maintenance, and other hotel departments to ensure guest needs are met.

Relay messages, requests, and special instructions to appropriate departments.

Administrative Tasks:

Maintain accurate guest records in the hotel’s management system.

Complete shift reports and update logs, such as guest preferences or important events.

Monitor hotel occupancy and prepare daily or weekly reports.

Security and Safety:

Ensure guest safety by monitoring hotel premises and reporting any suspicious activities.

Follow emergency procedures in the event of fire, medical emergencies, or other crises.

Other Duties:

Assist with concierge services, such as booking transportation, arranging tours, or making dining reservations.

Maintain a clean, organized front desk area.

Participate in training sessions and stay up-to-date on hotel policies.

Required Skills:

Excellent communication and interpersonal skills.

Strong problem-solving and conflict resolution abilities.

Customer-focused with a positive attitude.

Ability to multitask and handle a fast-paced environment.

Basic knowledge of computer systems, including hotel management software.

Organizational skills and attention to detail.

Ability to work flexible hours, including evenings, weekends, and holidays.

Qualifications:

High school diploma or equivalent (some positions may require a college degree or equivalent experience).

Previous experience in hospitality, customer service, or front desk roles is preferred.

Fluency in additional languages is a plus.

Working Conditions:

This role often requires standing for long periods.

Must be able to handle stressful situations and work with diverse groups of people.

Availability to work different shifts, including nights, weekends, and holidays.
