Front Desk and Administrative Coordinator

We are a holistic wellness center specializing in chiropractic care and nutrition, committed to providing exceptional patient care in a warm and supportive environment. We are looking for a highly organized, personable, and detail-oriented individual to join our team as a Front Desk and Administrative Coordinator.
Responsibilities:
Front Desk & Patient Experience:
Welcome and check in patients with a friendly and professional demeanor.
Manage patient scheduling, appointment confirmations, and follow-ups.
Educate patients about services, treatment plans, and financial policies.
Answer phone calls and emails promptly, addressing patient inquiries with care.
Maintain a clean, organized, and welcoming reception area.
Administrative & Office Coordination:
Oversee daily administrative operations to ensure smooth clinic flow.
Manage patient records, documentation, and data entry using ChiroTouch software.
Verify chiropractic insurance benefits and handle billing and claims processing.
Process patient payments and manage accounts receivable.
Maintain HIPAA compliance and ensure strict patient confidentiality.
Assist with inventory management, supply ordering, and office organization.
Staff Scheduling & Training:
Create and manage staff schedules to ensure adequate coverage and efficiency.
Train new front desk and administrative staff on office procedures and ChiroTouch
software.
Provide ongoing support and training to maintain workflow consistency.
Foster a positive, team-oriented office environment.
Team & Office Support:
Work closely with chiropractors, nutritionists, and staff to coordinate patient care.
Assist with marketing efforts, social media, office events, and special projects as
needed.
Maintain a proactive approach to problem-solving and office efficiency.
Qualifications:
Highly organized and detail-oriented with excellent multitasking skills.
Computer literate, with proficiency in ChiroTouch software and Microsoft Office.
Experience in chiropractic insurance billing and verification.
Strong customer service and communication skills—friendly, compassionate, and
patient-focused.
Leadership and staff scheduling/training experience preferred.
Previous experience in a chiropractic, holistic, or wellness setting is a plus.
