The Integrated Innovation Institute at Carnegie Mellon University breaks down the silos that impede innovation.We believe that by uniting the disciplines of engineering, design, and business, we can build impactful solutions that create value for real people.We are seeking a highly motivated Executive Administrative Assistant with strong customer service and a collaborative mindset to support our Director at the Integrated Innovation Institute (iii). The ideal candidate for this role will be detail-oriented and organized with exceptional critical thinking skills and executive support experience. This role will report directly to the iii Director.Core responsibilities include:Serving as executive administrative assistant and manage the day-to-day administration for the iii director.Maintaining complex executive calendar, key deadlines, and prioritized follow-upPrepping director on day-to-day issues; research, compose, and edit emails, spreadsheets, presentations, minutes, and other materials.Coordinating complex domestic and international travel and accommodations and submit travel reimbursements and Tartan Card reconciliations.Responding to internal and external inquiries; communicating effectively and frequently with a variety of constituencies including university officials, faculty, staff, international partnersExecuting the administrative aspects of faculty review and promotion processes as outlined by the College of Engineering.Managing process change requests and decisions/approvals from iii Director. Communication outcomes with all involved.Scheduling staff/faculty meetings and manage agenda and meeting minutes.Managing special projects/events; visits by domestic and international guests; and other department initiatives.Maintaining confidential information and sensitive files, including financial and personnel records/files.Managing faculty annual performance review (reappointment and promotion) cycles and also the administrative aspects of the faculty hiring process, including managing positions in Interfolio, posting positions, coordinating onsite and remote visits, scheduling and communicating with the faculty search committee, managing data, and responding to requests for information from both candidates and CMU.Performing other related duties as assigned.Flexibility, excellence, and passion are vital qualities within Carnegie Mellon.Inclusion, collaboration, and cultural sensitivity are valued competencies at CMU.
