Green Banks, LLC is seeking an Office Administrator for our Milwaukie, Oregon office. The position will be a permanent, part-time position (20 week). We are environmental consultants, which means that we are generally out in the field assessing soil, vegetation, water, and wildlife and we need a great communicator at our office hub. If you are an experienced administrative assistant, who knows about invoicing clients, paying bills, keeping an office running effectively, and enjoys helping people - you will like this position. We Need You to Have These Skills and Attributes
Experience as an administrative assistant (4 – 5 years of administrative experience preferred; 4-year degree or other certification desirable;)
Excellent team player and customer service style
Superior written and verbal communication
High level of attention to detail
High level of experience with Outlook and Microsoft Office Suite; knowledgeable about Google Suite
Ability to follow instructions meticulously, stay engaged, balance multiple demands, switch from task to task when needed, and meet deadlines
Strong work ethic; ability to work independently and with a team
Value and demonstrate collaboration, pleasant demeanor, patience, approachability, and flexibility. A big plus - ability to keep perspective and share a sense of humor!
Capacity to foresee business needs and initiate improvements paired with good judgment and decision making; an understanding of when to discuss your ideas with appropriate team member before implementing changes
Ability to work with others by phone and email; ability to work alone in an office most of the time

What We Offer
$23 – $30 per hour DOE, for approximately 20 hours a week
Paid time off accrued at 1 hour for every 30 hours worked, plus some paid holidays

What You’ll Do:
Work with botanists, ecologists, field crew, mapping specialists, equipment operators, and other staff. You’ll report to Green Banks principal/senior scientist
Invoice clients using a custom Excel template
Collect timesheets from employees for payroll processing by outside vendor
Review and pay office bills
Maintain office supplies and equipment; obtain supplies needed for client projects; assist with costing estimates for projects
Assist with onboarding and orientation of new employees
Serve as a resource for day-to-day questions and problem solving; work as a liaison for team members, government agencies, clients, and others
Coordinate with our vendors, employee benefits professionals, insurance carrier, bookkeeper, accountant, and other professionals
Manage database and create spreadsheets as assigned
Create charts, format documents, prepare reports; proofread
Schedule meetings and appointments; make travel arrangements
Reserve space, arrange catering, compile reports, and other tasks related to meetings
Organize and execute all aspects of our company celebrations, such as project successes, acquisition of new clients or projects, employee birthdays, workplace anniversaries, weddings, births, adoptions, and completion of educational degrees
Open and close the office
Other administrative projects and tasks as assigned

We are an environmental consulting firm that specializes in providing private and public clients with natural resource management, including wetland and waters delineation, mitigation design, monitoring, plant ecology, and vegetation management. We manage two wetland mitigation banks within the State of Oregon and are currently constructing a new wetland and stream mitigation bank.
