Tonkon Torp LLP, a full-service business law firm, is seeking detail-oriented individual to join our team as a Conflicts & New Business Intake Assistant. You will play a crucial role in processing preliminary conflict requests for various stakeholders including conflict searches, database maintenance, and client matter management. This is a full-time position for someone who is a quick learner, detail-oriented, highly organized, responsive, and a team player. After 30 days of employment, hybrid work may be available.

Typical duties may include:
Providing assistance in the Records Department by performing conflict searches, data entry to update the conflicts database, and the opening and closing of client matters
Ensure accurate assignment of client/matter numbers, attorney credits, practice group details, engagement letter requirements, pricing, fees, and conflict checks
Handling service documents and annual notices
Assisting with various clerical tasks
Communicate with attorneys and staff to address outstanding requests for conflict-related matters
The ideal candidate has:
Minimum 2 years' experience in general office or clerical work; experience in a law firm setting is a plus
Ability to operate a variety of office equipment including photocopiers and scanners
Exceptional organizational, multitasking, and customer service skills
Strong proofreading skills with meticulous attention to detail and accuracy
Excellent interpersonal skills, able to communicate effectively with diverse groups while maintaining professionalism and confidentiality
Basic knowledge of Windows-based environment, including but not limited to Microsoft Office (Word, Outlook, Excel) and Adobe Acrobat
Ability to prioritize and manage multiple tasks efficiently under time constraints
