SERVPRO OF SOUTHEAST PORTLAND & NE/SE SALEM is hiring a Job File Coordinator!

We're seeking a proactive individual who thrives on teamwork, collaboration, and problem-solving. If you enjoy continuous learning and can apply your knowledge effectively, we want to hear from you. Proficiency in delegation, scheduling, and project management is a definite asset.

As a Job File Coordinator, you'll handle all tasks related to customer calls, job monitoring, tracking, coordination, and audits. This full-time position operates Monday through Friday from 8:00 a.m. to 5:00 p.m., with potential for additional hours based on business needs.

Key Responsibilities:

- Ensure accuracy of job file documentation and daily monitoring of job statuses

- Provide exceptional customer service via phone and maintain detailed call logs

- Optimize work schedules and balance job assignments efficiently

- Coordinate with Production crews to capture required documentation on-site

- Keep staff informed on job statuses and schedules through accurate Work in Progress board management

- Ensure compliance with client requirements and FNOL documentation

- Oversee job file documentation, communication, and subcontractor activities

- Maintain compliance with National Accounts Program Agreement

- Manage communication with internal and external stakeholders

- Review and report job data points accurately for performance metrics

- Coordinate close-out activities, including invoicing coordination with accounting

Position Requirements:

- Minimum two years of business experience

- Proficiency in administrative tasks, including filing and document management

- Familiarity with business software technologies preferred

- Strong organizational skills with meticulous attention to detail

- Experience in commercial cleaning and restoration or insurance industries desired

- Ability to write estimates and manage the job file process effectively

- Excellent customer service, administrative, verbal, and written communication skills

Physical and Work Environment Requirements:

This role is primarily sedentary in an office setting but involves occasional filing tasks, including lifting files and accessing filing cabinets.

Competitive Compensation:

Earn between $18.00 and $22.00 per hour (DOE), with potential for overtime.
