Job Overview
We are seeking a detail-oriented and organized Administrative Assistant with bookkeeping experience to join our team. The ideal candidate would have a strong background in bookkeeping and be proficient in QuickBooks online and QuickBooks Desktop. Booking travel experience is a plus. This position will require office hours and will also have remote hours as well. Weekend hours might be required depending on the projects we are working on (this could be in the office or remote). We are looking to start this position as a part-time (25-30 hours) with the possibility to grow into full-time.
A company laptop will be provided
Responsibilities (But not limited to)
- Assist with Travel Planning (flights, hotels, car rentals, etc.)
- Assorting receipts and filing by credit card number, project and company
- Perform general ledger reconciliation
- Utilize accounting software such as QuickBooks Online & Desktop
- Track subcontractors' hours to ensure they coincide with subcontractors' invoices
- Assist with QB journal entries
- Provide administrative support to the team as needed
- Keep track of subcontractors Certificate of Insurances to ensure they do not expire
- Track EZ Pass tolls, fuel per project,
- Track vehicle maintenance in spreadsheet
Skills
- Proficiency in accounting principles and practices
- Experience with journal entries and general ledger accounting
- Familiarity with accounting software like QuickBooks Online & QuickBooks Desktop
- Strong attention to detail and accuracy
- Excellent organizational and time management skills
- Ability to work independently and as part of a team
- Travel Planning knowledge.
- Sales and use take experience
Hours are negotiable, and compensation will be based on experience
