DISPATCHER/SERVICE COORDINATOR, Charlotte, NC
CAROLINA INDUSTRIAL TRUCKS, INC., a forklift dealership founded in 1989, is a material handling dealership to represent the Unicarriers, Komatsu, Hyundai and Heli lines of material handling equipment. We are not only a forklift dealer, but we service all brands of forklifts.
Our Charlotte, NC Branch Office is looking for an Experienced Service Coordinator/Dispatcher, who wants to be a part of a successful organization!
Responsivities:
Handle the Service Department paperwork billing process in its entirety (Service Manager to review work orders)
Dispatch all Service Calls and communicate with customer on ETA
Maintain detailed Dispatch Log
Assign Minitrac numbers to shop and road service technicians
Gather all daily timesheets / work orders for Service Manager by 8:45am for DOC prep
Train new service technicians on correct completion of paperwork
Screen customer billing issues and complaints
> Compile information for Service Manager to communicate with customer
Run weekly WIP report for Service Manager to review
Manage customer survey comment cards
>1 card per technician per week (to be recorded in Dispatch Log)
Maintain accurate PM list in Minitrac to include all rental equipment
Ensure accurate PDI paperwork is sent to VP of Administration on new equipment
Maintain “Pending Parts” and “Shop Job” Bins
Assist Rental Manager with communication with Transport staff & directions
Maintain Transport Dispatch Board with Rental Manager’s priority instructions
>Including outside wreckers, if appropriate
Alert Sales Manager and Service Manager on any issues with recently sold equipment
Assist Service Manager in communication with CSRs on customer issues
Maintain files for completed work orders and timesheets
Update Shop & Road Service Assignment Board / Transport Board daily
Maintain Quote Log
> (Service Manager will perform all quotes and communicate with customers)
Who are we seeking?
· A professional who is willing to “go the extra mile” for his team member and our customers.
· Minimum of 5 years experience in administrative capacity
· Proficient with Microsoft Office (Word, Excel, Power Point, Outlook)
· Strong ability to multitask, set priorities and meet deadlines
· Experience with Minitrac Software highly regarded
· Advanced written and communication skills
· Effective organizational skills and problem solving skills
· Good analytical skills focused on resolution to issues
· High sense of emotional intelligence
· Knowledge and comprehension of basic accounting principles
