Summary:

Primary responsibility is to provide marketing, administrative, and leasing support to management, tenants, and event clients. The Marketer is responsible for executing promotional efforts, assisting with specialty leasing, maintaining tenant communications, and ensuring smooth day-to-day administrative operations. Must provide great customer service to all tenants and guests of the Fingerlakes Mall while managing multiple responsibilities in a fast-paced environment.

Principal Job Duties and Responsibilities:

Responsible for all Event Planning, Coordination, Set up, and Execution.

Manage small- and large-scale mall-hosted events, and directs assisting staff to operate as a cohesive team to execute successful affairs from start to finish.

Coordinating support for all mall events and sponsored tenant events and tradeshows. This includes activities such as providing on-site coordination/services for events; arranging for event materials; providing set up for events; managing events calendar and soliciting in-mall and outside sources for future events.

Managing all logistical considerations for events to include logo placement, communications with vendors and event staff, marketing, coordination of setup and teardown of trade show or event materials, etc.

Develop, coordinate, and execute marketing campaigns and events to drive traffic to the mall.

Manage the mall’s social media accounts and website with notices, promotions, events, and tenant announcements.

Create promotional materials, including flyers, posters, and press releases, while ensuring consistency with branding.

Maintain staff, tenants, and event calendars, ensuring accurate scheduling of all bookings.

Function as a liaison between the mall and tenants to promote their businesses through available marketing channels.

Coordinate specialty leasing for temporary tenants, including assisting with writing agreements, collecting necessary paperwork, and ensuring compliance with mall policies.

Manage all event requisitions and invoice payments to ensure timely processing of invoices.

Drive sales by communicating and interacting with mall tenants on a regular basis; provide assistance to promote tenant sales on the website, social media, newspaper, mall advertising, marquees, a-frame signs, etc.

Process and track vendor applications, payments, and insurance requirements for all events and specialty leasing agreements.

Maintain and update handbooks and essential paperwork as needed, ensuring clear and current policies for all staff and tenants.

Assist in administrative duties, including answering phones, responding to inquiries, sorting/sending mail, and filling supply orders.

Maintain and update departmental files, including leases, vendor agreements, insurance certificates, and rental contracts.

Process invoices, purchase orders, and check requests related to marketing, event rentals, and specialty leasing.

Support the General Manager in daily operations, including managing office supplies, organizing paperwork, and tracking expenses.

Prepare reports and track performance metrics for marketing efforts and leasing activities.

Provide assistance to the operations and security teams as needed, including updating forms and keeping hours.

Assist in the preparation of tenant updates, lease agreements, and renewals for specialty tenants.

Responsible for the development, design, ordering, and implementation of mall advertising and signage to support marketing initiatives.

Responsible for coordination, writing, publishing, and distribution of monthly tenant newsletter.

Engage with shoppers and event attendees to promote mall initiatives and enhance customer experience.

Oversee additional administrative tasks assigned to ensure smooth operations within the mall office.

Coordinate with General Manager with tasks.

Perform other duties as assigned.

Position Requirements:

Flexible schedule with ability to work days, evening, or weekends as needed.

Ability to manage a high-volume workload with minimal resources and limited support.

Strong organizational skills with the ability to multitask and prioritize responsibilities effectively.

Excellent verbal and written communication skills, including professional email correspondence and press release writing.

Must be a team player.

Must have strong customer service and people skills.

Must have a passion for event design, implementation, and working with others.

Proficiency in Microsoft Office (Word, Excel, Outlook), Microsoft Publisher, and social media management platforms.

Ability to work independently while also collaborating with tenants, vendors, and management.

Must be adaptable and able to handle difficult conversations, including unreasonable demands and challenging personalities.

Ability to move, lift, carry, push, or pull objects up to 25 pounds.

Ability to walk or stand for extended periods of time.

High school diploma or equivalent education preferred. Some college coursework or marketing experience is desired but not mandatory.
