Executive Assistant - Investment Team

Our client, a Private Equity firm has multiple openings (add to staff) for Executive Assistants to support teams of executives at varying levels, in their NYC office. Candidates must have a minimum of 5+years of applicable high-level administrative experience supporting a team/group of executives within financial services (preferred), and a Bachelor’s degree ( preferred). They should be extremely polished, professional, team-oriented, flexible, hard-working, accustomed to working in a fast-paced environment, and possess excellent interpersonal and communications skills. Salary depends on experience 90-115K + paid OT + Bonus

Hours are 9:00-6:00pm. (Hybrid work schedule 4/1).

Responsibilities:

Schedule and organize meetings, conferences, and off-sites, including all related logistics/materials, proactively addressing conflicts, exercising strong judgment based on priorities, and seeking guidance as needed.

Prepare materials for meetings; track and confirm attendance

Arrange travel plans and compose itineraries, including obtaining necessary travel documents and coordinating visas.

Screen a large volume of incoming calls and greet guests in a professional and courteous manner.

Maintain kitchen and order office supplies

Use US Mail, FedEx, and other services to send and track priority mail.

Perform other related general administrative and project-based tasks as assigned and required.

Be available to check and respond to occasional after-hours correspondence.

Required Qualifications:

Minimum 5+ years of applicable high-level executive administrative experience supporting a team/group of executives

Bachelor’s Degree preferred.

Ability to thrive in a fast-paced and rigorous work environment; demonstrated ability to prioritize competing demands and meet deadlines.

Excellent judgment and a very high level of confidentiality.

Must demonstrate a proactive, positive attitude towards given tasks, plan ahead for potential issues, and take appropriate action.

Strong attention to detail, responsiveness, and follow-through on open items.

Exemplary interpersonal skills necessary to handle sensitive and confidential situations. Role continually requires demonstrated poise, tact, and diplomacy.

Superb written and verbal communication skills. Strong attention to detail when composing and proofing materials required.

Team-oriented and collaborative attitude is a must.
