About the Role
A boutique NYC-based law firm is seeking a highly reliable and resourceful Assistant to support its founder with both business and personal tasks. This is a full-time position requiring a mix of in-person and remote work.
The ideal candidate is exceptionally organized, proactive, trustworthy, and an excellent problem solver, with a strong ability to manage logistics, research, advocacy, and administrative support. This role is perfect for someone who enjoys anticipating needs, handling tricky situations with confidence, and maintaining clear communication.
Hours & Location
Work will take place in both the firm’s office and the founder’s home office.
Assistant can work remotely on days when the Founder is out of the city.
Must be based in the NYC area.
Key Responsibilities
Organization and Administrative Support.
Organize and maintain the firm’s office and the founder’s home office.
Prepare necessary materials for the Founder in advance of meetings.
Manage scheduling, appointments, and correspondence.
Draft, proofread, and edit emails, letters, and other communications.
Conduct research and summarize findings for the Founder.
Utilize Microsoft Office Suite (Word, Excel, Outlook) and AI tools for administrative tasks.
Errands & Logistics Management
Run personal errands (e.g., handling returns, picking up groceries, coordinating home maintenance).
Book travel arrangements.
Open mail and packages and distribute appropriately.
Advocate on behalf of the founder with service providers (e.g., medical offices, contractors, vendors, customer service reps).
Oversee all household technology to ensure it is working and optimized at all times
Negotiate rates and services when needed.
Help with organizing events.
Track and manage invoices, bills, and small expenses.
Problem Solving and Advocacy
Take initiative in troubleshooting and resolving challenges as they arise.
Anticipate needs and proactively find solutions.
Maintain open and frequent communication with the founder, checking in via daily calls and providing updates.
