Job Summary: Supporting the mission, vision, and core values of FUSW, the Administrator oversees the office and communications with minimal guidance. This leadership role requires professionalism, the ability to problem solve, to communicate with a variety of internal and external roles, and to maintain confidentiality in working with volunteers and the church’s financial and information systems.
Manages office procedures, communication and website, calendar and purchasing.
Competent in major office-related computer applications, website and social media.
Knowledgeable about the organization and its policies.
Activities include website maintenance, and preparation and distribution of information via the website, Facebook posts, electronic newsletters, Sunday Orders of Service, and brochures.
Works with volunteers and other staff to answer and route incoming calls, to schedule building use and to support other activities of the congregation.
Maintains membership and mailing lists.
Maintains necessary office supplies.
Reports to: Board of Trustees, with a designated liaison
Status: 20 hours per week, with some flexibility in on-site and remote work hours
Responsibilities: Works collaboratively with the minister, staff, and Board of Trustees (BoT) in all areas of managing the congregation including but not limited to communications, program support and resource management.
Communications:
Coordinate the production and distribution of communications, working collaboratively with staff and volunteers. Coordinate with volunteers to publicize events. Maintain central records, electronically and/or on paper. Specific activities include:
Create congregation wide batch emails, weekly newsletters, and other important messaging (special events, death notices, weather related closures and other urgent communications)
Produce graphics for social media, events, printed posters, brochures, and postcards for various committees incorporating branding principles
Maintain website (fusw.org)
Manage the calendar, coordinating space usage by established groups
Manage social media accounts and assure compliance with FUSW policy. Set up and maintain engaging FUSW presence on popular social media platforms (e.g., TikTok, Instagram, Facebook), training FUSW members to generate content, and posting and updating this content (video clips, photographs and written vignettes about sermons, services, congregational activities and announcements) on these platforms on a regular basis.
Format and publish (electronically and on paper) the weekly Order of Service
Design graphics for events, weekly newsletter (The Scoop), brochures, etc.
Compile, edit, and produce the Annual Report including agenda documents, etc.
Coordinate with volunteers to check and respond to all inquiries via email and voicemail
Serve as a point of contact for UUA communications and requirements, including adding or deleting members in the UUA mailing list, maintaining current FUSW information with the UUA, coordinating and submitting the annual certification
Program Support:
Provide basic administrative and clerical support for the Board of Trustees, committees, task forces, congregational meetings, and other projects. Specific activities include:
Post monthly and annual meeting minutes to the website
Create and manage Zoom links for meetings and events
Support welcoming processes by responding to or forwarding inquiries, creating name tags, ordering supplies and materials as requested
Update database for congregational directory, record contributions, and create monthly reports for the Finance Committee (using Icon)
Resource Management:
Support FUSW activities with resources, records and documents. Specific activities include:
Support electronic and paper filing system to maintain records and documents for activities and to comply with legal requirements.
Maintain inventory of office supplies within assigned budget guidance.
Manage contracts and maintenance of office equipment, office supplies, make purchases with the tax-exempt number
Track maintenance vendor contracts and records, assure annual contract renewal processes
Other:
Provide a welcoming and professional representation of the congregation to all outside parties via phone, email, and face-to-face meetings.
Attend staff and other regularly scheduled meetings, as needed.
Experience, Knowledge, Skills, and Abilities Needed:
● College degree preferred.
● Ability to organize workflow and complete assignments in order of priority, under conditions of fluctuating workload and possible changes in priorities.
● Highly developed interpersonal skills to communicate diplomatically and effectively with staff, volunteers, congregants, and community members who vary in ethnicity, race, disability, socio-economics, gender identity, sexual orientation, etc.
● Skill in handling confidential information with absolute discretion, tact, and sensitivity.
● Demonstrated knowledge of the Microsoft Suite, Weebly, Constant Contact, databases, and social media.
● Advanced writing and editing skills to compose letters, reports and other documents.
Compensation: Salary will be commensurate with experience and in keeping with the fair compensation guidelines recommended by the UUA for Administrative and Operations Staff. The range is $20 to $24 hourly.
