Job Summary:

We are seeking an efficient, fluent (English and Spanish) and detail-oriented Administrative Assistant to join our team In this role, you’ll play a vital part in supporting the daily operations of our property management business, ensuring smooth communication between clients, tenants, and vendors when necessary. If you’re organized, resourceful, and thrive in a fast-paced environment, we’d love to meet you!

Key Responsibilities:

Assist with lease management, including preparing agreements, renewals, and notices.

Coordinate and track cleaning requests, ensuring timely completion and communication with tenants and vendors.

Maintain accurate and up-to-date records

Schedule property inspections and meetings for property managers.

Process invoices, receipts, and other financial documents for property-related expenses.

Ensure compliance with NYC property regulations by tracking certifications and deadlines.

Manage office supplies and administrative tasks to keep the office running smoothly.

Collect rent payments and make bank deposits

Qualifications:

Fluent in Spanish and English, with excellent verbal and written communication skills in both languages.

Proven experience as an Administrative Assistant, preferably in office environment.

Proficiency with Microsoft Office Suite.

Excellent organizational and multitasking abilities in a high-pressure environment.

Exceptional communication and customer service skills.

A high degree of professionalism and the ability to handle confidential information.

High school diploma or equivalent

This is a part-time, in-person position, requiring availability Monday through Friday during morning - early afternoon hours. No remote work is offered for this role.
