Events Coordinator Job Description:

The Events Coordinator is responsible for detailing all aspects of each event–servicing BEO’s, floor plans, diagrams, and on-site event management and execution for the day of the event. They are responsible for taking on a leadership role and executing all events seamlessly, in all aspects of set up, and communicating with venue management for collaborative teamwork.

Event Coordinator Requirements:

Bachelor’s Degree in Business, Communications, PR OR Associates Degree in Business or related field of study and Certified Events/Meeting Planner Certificate (CEP or CMP)

1 – 3 years of experience working in New York City Events or PR industry

Proficient in all Microsoft or Mac OS Applications – Word Documents, XL Spreadsheets, PowerPoint

Tripleseat Experience a Plus

Highly skilled in typing, internet research and general CPU functionality

Efficient and accurate Math skills and ability to quickly negotiate contracts

Ability to adhere to and meet all given deadlines, with short notice

Ability to coordinate several projects simultaneously

Ability to work independently as well as in a team oriented environment

Ability to quickly and effectively prioritize time sensitive responsibilities in an extremely fast paced, continuously changing environment

Ability to ensure accuracy in all details and communication related to events

General overall knowledge of different types of events and “lingo” affiliated with events

Ability to remain calm under high pressure situations and stay focused on the task at hand

Clean, Professional appearance at all times, with strong written, oral and interpersonal communication skills

Events Coordinator Responsibilities (including, but not limited to):

Handle the preparation and planning for upcoming events including but not limited to;

Manage all aspects of the client’s engagement from initial contact to planning all aspects of the client’s event, event day execution and post even paperwork, and follow up.

Coordinate conferences, meetings & events (pre-planning, onsite execution & post event)

Perform Site Visits & Recommendations to Clients

Produce Event Specifications & Manage Vendors (Ex: AV Tech, Performers, Flowers). Book all vendors, special orders, signage for events, etc.

Assist in Financial Management (Budget Creation, Revenue and Expense, Registration, Exhibit Fees)

Adaptable in changing environments. (Ex: Crisis during event)

Maintain Relationships with Clients (Ex: Outreach)

Manage & Maintain Event Calendar (Ex: Triple Seat)

Contribute to overall team success by identifying problems & proactively seeking improvement

Manage and maintain event calendar is ensure it is continuously up to date

Handle reservations, special charity events, photo-shoots, TV filming products, PR requests.

Position - Full-Time, 45 -50 hours per week

Compensation $50,000-$60,000 salary + commission
