With a 150-year legacy and programs across the country, effective cross-functional management is critical to ensure ASPCA staff have effective solutions to improve the lives of animals. The Senior Project Manager, Project Management Office will work with a team of innovators to provide structure and organization to projects, keep meetings productive and engaging, and partner across the organization to bring these projects in on-time and within budget, honoring our core value of TEAM.This role will report directly to the Senior Director, Portfolio Management in the Project Management Office (PMO). The PMO was founded in late 2021 to provide centralized strategic management and oversight of the ASPCA's project portfolio, implement project portfolio management, and elevate project management best practices and methodologies to enable the successful execution of the organization's priorities. The Office is an integral member of the Finance, Real Estate, Facilities & PMO (FRFP) department and this role has the unique opportunity to partner with colleagues across the entire organization and serve as a critical linkage between major projects, so that we continue to maximize our impact on animal's lives while optimizing internal resources.The Director provides strategic coordination and tracking of large-scale projects that are integral to various ASPCA initiatives, including (but not limited to): implementation of new technology; process improvement; launch of new programming; new SOP's and change management; and various other projects. The ideal candidate will be extremely organized, detail-oriented, and have excellent communication skills to collaborate with team members and project leads. Facilitation and presentation skills to lead key meetings and coach teams for success are key attributes for this position.Sharp critical thinking and problem-solving skills are a must! Collaborate with internal stakeholders across departments, external vendors, and subject matter experts to create and execute complex project plans, budgets, and schedules; ensure that all projects not only achieve on-time and on-budget metrics but meet the business goals and achieve the expected business outcomes upon completion.Provide sponsors with regular reporting on project progress, outcome measures, progress tied to organizational and department goals, and lessons learned.Identify, mitigate, and communicate potential risks and challenges that may impact project success.Facilitate meetings to drive decisions, define next actions, and accomplish goals.Establish communication cadence to support teams in achieving their goals efficiently and effectively.Identify, understand, and solve for teams' unique project challenges, including capacity, issues/concerns, resource allocation, and interdependencies.Ensure quality of the work produced by cross-functional teams, and make sure deliverables are current and accessible.Work with team members to understand their operational needs thoroughly, in context, emphasizing listening before solutioning.Flexibly employ training, documentation, and process changes, as well as traditional project management solutions such as use of a Gantt chart, status report, etc.Cultivate an understanding of project management tools and tactics that best fit specific use-cases and spread awareness about how to use in-house digital tools to support best practices.Project Portfolio Management Software Administration & Expansion (15%)Complete trainings to serve as Planview Project Hub Administrator and thought partner.Create and implement Planview Project Hub expansion roadmap. Train and onboard new users.Work closely with Project Managers and departments to understand business needs, identify requirements, and create solution roadmaps for new capabilities and enhancements in the system.Proactively research and explore solutions that deliver a streamlined experience for users.Support Development of Training, Templates and Documentation (15%)Provide project management coaching and consulting to departments to help surface and understand each team's unique project challenges.Foster strong communication and collaboration to support teams in achieving their goals efficiently and effectively.Actively contribute to monthly meetings with the Project Manager Cohort.
