The Reclamation Administrator is responsible for managing the reclamation process for returns, credits, and damaged goods related to beverage distribution. This role ensures that all returns and claims are processed accurately, efficiently, and in compliance with company policies and legal regulations. The administrator serves as a key point of contact between distributors, customers, and internal teams to handle reclamations and facilitate timely resolutions.Your Main Focus Will Be: Claims Management:
Work with Inventory Control, Operations (warehouse managers, supervisors and/or admins) and accounts payable to gather all necessary documentation (i.e. - photos, bill of ladings, invoices and internal claim forms) to support all types of claims.
Review, identify type and process all beverage reclamation claims and invoicing (supplier over/short, freight, secondary, risk mitigations, out of codes and theft).
Ensure all Supplier timelines and requirements are met.
Collaborate with recycling managers to schedule and track warehouse breakage destruction (Claim invoices, warehouse shrink and sales pickups).
Work with the credit team to ensure all supporting documents are obtained for all invoices. Resolving issues promptly for collection of payment.
Communication:
Act as the primary point of contact for suppliers and operations department regarding reclamation inquiries.
Communicate effectively with operations and credit teams to ensure proper handling of credit requests and payments.
Maintain clear and professional communication between operations and third-party destruction company involved in the reclamation process. Responsible for coordination of all product destruction appointments with third party recycling facility (Parallel Products).
Reporting and Documentation:
Prepare and maintain accurate records of all reclamations and returns.
Provide weekly reports to management on reclamation trends and financial impacts.
Ensure all documentation is complete and compliant with internal policies.
Process Improvement:
Identify areas for improvement in the reclamation process to reduce operational inefficiencies and minimize product losses.
Collaborate with internal teams to update policies and procedures to enhance the efficiency of the reclamation process.
Customer Service:
Provide customer service by addressing supplier concerns and resolving issues related to the collection of claims.
Ensure timely responses to all reclamation inquiries to enhance customer satisfaction and maintain positive relationships.
Required Qualifications:
Bachelor’s degree in business administration, supply chain management, or a related field (preferred).
Proven experience in a similar role, ideally within the distribution, retail, or beverage industry (preferred).
Strong understanding of inventory management and logistics processes.
Excellent problem-solving skills and attention to detail.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and any relevant reclamation software.
Strong interpersonal skills: written and verbal.
Good work ethic, passion to learn and commitment to excellence.
Ability to work independently and as part of a team in a fast-paced environment.
Working Conditions:
Full-time position, typically Monday to Friday, with occasional overtime during peak times.
May require working in a warehouse or distribution center environment.
Occasional travel to meet branch visits.
Hourly Salary: $23.00 - $27.00It is not typical for offers to be made at or near the top of the range. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, certifications obtained. Market and organizational factors are also considered. In addition to salary and a generous employee benefits package, successful candidates are eligible to receive a discretionary bonus.
