Job DescriptionExciting Opportunity at MSK: We are excited to be recruiting aLead Assistant for the Chairof the Department of Medicine, the largest of MSK’s clinical departments comprised of 4 divisions and nearly 500 faculty. You will manage all aspects of the Chair's office, including direct supervision of administrative support to the Vice Chairs. The Chair is a senior leader who partners with executives across the department and hospital to achieve the Department’s priorities. You will perform administrative duties to maintain the office's smooth operation as well as support departmental leadership. Are you a hardworking professional looking for a leadership opportunity? This is the perfect role for you! Role Overview:

Resolve complex inquiries using knowledge of the Chair’s initiatives and organization policies and programs

Directly supervise activities of administrative staff supporting Senior Director and Vice Chairs, including recruitment, orientation, training, mentorship, coaching, and performance evaluation

Manage complex calendars of department leaders and staff, using independent judgment based on knowledge of priorities and resources, proactively identifying and compiling appropriate briefing and background materials in advance of meetings

Handle all travel arrangements, which may require complex and detailed plans

Identify and implement administrative processes and tools to ensure efficient workflow and communications within the office

Work closely with the Chair and Senior Director to coordinate current initiatives and foster the growth of new ones

Assist with projects of moderate complexity. These projects require independent judgment, critical thinking, and solid organizational skills. Projects may include conducting research, summarizing data, analyzing budget items, etc.

Operate autonomously, with discretion, in a fast-paced and constantly evolving environment

Key Qualifications:

4-7 years of experience in an Administrative role, such as Sr. Administrative Assistant, Executive Assistant, or Team Lead

Proficiency in Microsoft Office

Knowledge of medical terminology

Strong prioritization, attention to detail, and organizational skills

Core Skills:

An effective communicator, capable of determining how best to reach different audiences and executing communications based on that understanding

Flexible in your approach and demeanor to align with the shifting demands of evolving circumstances

Adept at creating partnerships and working collaboratively to meet shared objectives and goals

Capable of building strong customer relationships and delivering customer-centric solutions

A good decision-maker, with proven success at making timely decisions that keep the organization moving forward

Action-oriented and eager to embrace new opportunities and tough challenges with a sense of urgency, high energy, and passion

Additional Information:

Location: 1275 York Avenue #LI-Hybrid

Hours: Monday - Friday, 9 am - 5 pm (hybrid schedule, 3-4 days onsite)

Pay Range: $88,800.00-$142,200.00
