Presurgical Schedulingi.This position will support an initiative launched in February 2024.ii.The coordinator will manage surgeries scheduled three months in advance and, based on each physician's post-surgery protocol, schedule patients for post-op rehab to improve access and avoid last-minute bookings.iii.Doctors involved: Dr. Germano, Dr. Krochak, Dr. Mait, Dr. Paci, Dr. Boylan, Dr. Brown, Dr. Fracchia, Dr. Mitgang, Dr. Pallotta, Dr. Rana, Dr. Reizner, Dr. Rothfeld, Dr. Wu, Dr. Yu, Dr. Keefer, Dr. Mallo, Dr. Munn, Dr. Goldstein, Dr. Lenart, Dr. Mercer, and we are continuing to collaborative with other Physicians in wavesb. Front Desk Leadi.As Lynbrook PT is one of our busier offices, the coordinator will also act as the front desk lead, ensuring smooth operations and patient flow. Key responsibilities include:

Overseeing front desk efficiency and adherence to procedures.

Managing the waitlist and offering real-time appointments for cancellations.

Communicating daily with the admin supervisor on operational concerns.

Coordinating staff coverage to prevent gaps in patient care.

Delegating and overseeing daily tasks such as chart checks, confirming new evaluations, preparing patient packets, and printing flow sheets.

Assisting the front desk with scheduling, insurance issues, and other day-to-day tasks.

Acting as a liaison to the revenue cycle team, resolving real-time patient issues related to verification/authorization.

c. Training:i.Training new hires and providing refreshers for underperforming team members.

Leading group training sessions covering patient experience, Clinicient, KEET, phone etiquette

d. Epic Super Useri.Rehab front desk will be part of Wave 2 with the Orthopedic Department for physician referrals.ii.Rehab front desk staff will need training to acquire PT/OT scripts.iii.Capture patients from rehab orders.iv.Access team will need to work off the worklist.e. Welcomeware Point personi.Train Welcomeware remote team members on the department's processes and procedures.ii.Monitor and address any issues, escalating to admin supervisors and managers as necessary.iii.Provide feedback to remote team members to improve efficiency and workflow.iv.Ensure paperwork, tasks, and schedules are appropriately distributed and managed.This role is critical to maintaining operational efficiency and enhancing the patient experience.

Coordinates diversified clerical duties which may include, but are not limited to: Typing various correspondence, reports, articles; Greeting and directing visitors; Answering telephones, taking messages, directing intercom pages; Scheduling appointments/meetings; Maintaining department/office files, record keeping, patient record filing; Taking meeting minutes; Collecting payments; Keeping inventory and ordering supplies for the department/office;

Job Qualification

High School Diploma or equivalent required.

1-3 years of relevant experience, required.
