We are seeking a dedicated and professional Front Desk Receptionist to join our team in Smithtown/Stony Brook. This role will serve as the first point of contact for patients, visitors, and medical staff. As a key member of our office, you will manage patient check-ins, phone calls, appointment scheduling, and various administrative tasks while ensuring a smooth and welcoming experience for patients. Strong communication, multitasking abilities, and a focus on exceptional service are essential.
Key Responsibilities:
Reception & Greeting: Greet patients and visitors warmly, answering questions and directing them to the appropriate areas within the office.
Phone Management: Answer, screen, and route phone calls efficiently, addressing patient inquiries or directing them to the appropriate department.
Patient Check-In/Check-Out: Verify patient demographics, insurance information, and obtain required signatures and forms. Ensure all check-in/check-out procedures are completed accurately.
Appointment Scheduling: Schedule patient appointments, confirm details, and ensure that patients are reminded of any required documentation for their visit.
Payment Processing: Collect and process payments from patients for services rendered. Maintain accurate records and update billing information as needed.
HIPAA Compliance: Ensure all patient data and communication are handled in compliance with HIPAA guidelines to protect confidentiality.
General Administrative Support: Assist with general clerical duties such as filing, data entry, and document preparation.
Evening/Weekend Coverage: Provide additional coverage for evening and weekend hours as needed.
Qualifications:
Education: High school diploma or GED required.
Experience: At least 6 months of prior experience in a receptionist or clerical role, preferably within a healthcare setting. Completion of a Medical Office Administration program or prior medical office experience is preferred.
Skills:
Proficiency in Microsoft Office (Word, Excel, Outlook).
Familiarity with EMR systems is highly desirable.
Excellent communication and interpersonal skills.
Professional phone etiquette and the ability to communicate clearly with patients and staff.
Ability to maintain strong attention to detail while multitasking in a busy environment.
Basic knowledge of insurance verification, medical terminology, and office billing practices is a plus.
Ability to handle sensitive patient information confidentially.
