Description We are offering a contract to hire employment opportunity for an Office Assistant role based in Batavia, New York. This role is centered in the telecom industry, where you will be providing administrative support to ensure the smooth operation of our office. Responsibilities: Accurately inputting data into various office software such as Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, and Microsoft Word Managing incoming calls, taking messages, and directing inquiries to appropriate person or department Organizing and maintaining both physical and digital filing systems for easy access to documents Composing and sending emails on behalf of the office, including responding to inquiries and scheduling appointments Assisting with various administrative tasks such as photocopying, scanning, printing, and collating documents Providing support to office staff as needed, including coordinating meetings, arranging travel plans, and handling office supplies inventory Keeping the office environment neat and organized, including tidying up common areas and ensuring supplies are stocked Providing excellent customer service and handling billing functions and correspondence where necessary Performing other clerical duties as necessary to support the smooth operation of the office. Requirements Proficiency in Microsoft Office Suites including Microsoft Excel, Microsoft Outlook, and Microsoft Word. Experience with Office Functions and Clerical Duties such as filing, copying, answering telephones, and maintaining office records. Familiarity with the About Time software. Capable of handling Billing Functions and Accounting Literature. Strong skills in written Correspondence. Excellent Customer Service skills, with the ability to handle inquiries and complaints professionally and effectively. Ability to multitask, prioritize, and manage time effectively. Strong organizational and planning skills. Excellent written and verbal communication skills. Strong problem-solving skills. Ability to work independently and as part of a team. High level of attention to detail and accuracy. Ability to maintain confidentiality and handle sensitive information with discretion. Willingness to learn and adapt to new systems and software as required.
