This position is primarily responsible for promptly processing and paying University financial obligations to its vendors from all funding sources, using both Banner and the SUNY system. Responsible for running the weekly vendor and student check runs and communicating with vendors and departments regularly. This position is also responsible for daily over-the-counter cash transactions and other basic cashiering related functions. Salary/Rate:$18.00-$19.00, 35 hours per week, Union-11 Essential Functions:
Enter all invoices, and check requests that are not processed through our AP automation system
Monitor that status of pending invoices and contact appropriate departments for held up invoices as needed
Contact vendors/departments when there are invoice questions or discrepancies
Process the AP and Student check runs on a weekly basis
Enter NYS College of Ceramics invoices and monitor and verify payments made after state processing in the SUNY /SFS Systems
Follow up on invoices with departments and suppliers for orders that have been received, but have not been invoiced
Monitor and process check exceptions, returns, and cancellations
Contact vendors to receive and verify ACH information prior to issuing payment
Additional Accounts Payable duties as assigned
Other Duties & Responsibilities:
Serve as receptionist for front office counter and phone line
Retrieve, process and disburse departmental mail daily
Order office supplies regularly, including envelopes and check stock
Open and close the business counter functions including preparing the cash drawer and vault for daily business transactions
Perform over-the-counter cashiering functions, bank deposits, and cash reconciliations daily
Complete insufficient funds process when necessary including notifying appropriate department, sending letter to original issuer, and recording associated fees
Reconcile the primary Business Office credit card including uploading all receipts and electronically submitting
Enter all journal entries into Banner accurate and timely
Backup for any other business office day-to-day duties as necessary
Supports and assists in creating intersections for faculty, staff and students that will assist in transforming people’s lives
Supports and assists in creating an evolving culture of mentoring and rich engagement opportunities for faculty, staff, and students

Qualifications-Education & Experience, Knowledge, Skills & Abilities:
Associate Degree Preferred, High School Diploma required
Minimum two years of business related experience, preferable with working knowledge of accounting
Experience with Banner Finance Module a plus
Knowledge of accounting and excel required. Must be proficient in Microsoft Office and have excellent communication skills, both written and verbal
Knowledge of SCT Banner Finance as well as SUNY operations a plus
Experience working with databases and strong analytical background preferred
Ability to handle large volumes of quantitative data quickly and accurately
Knowledge of Alfred University and NYS account structure
Ability to use multiple computerized systems with highly efficient data entry skills and accounting transaction processing
Ability to multi-task with frequent interruptions

Personal Protective Equipment must be worn when required. A respiratory function test and the ability to use respirators may be required.
