Part Time Administrative Assistant

Join our growing team at Friends of the Santa Fe Public Library! We are seeking an Administrative Assistant to help support our mission to advocate for and support the Library by providing funding for programming, services, and materials that enrich our diverse community.

This position will work closely with the Executive Director and Board of Directors in support of our mission and organizational growth. The Friends are committed to deepening our impact and engaging a wider community. A new Administrative Assistant will help maintain and expand the organization’s ability to meet these goals.

Reporting to the Executive Director, this is a part-time contract position at 15-20 hours per week starting at $20/hour. This will be a primarily on-site job, but remote work can be accommodated when appropriate. Applicants should have at least 3 years of Administrative experience, organizational and computer skills, a desire to collaborate creatively, and a passion for our mission.

This position will play a pivotal role in maintaining daily operations for the Friends, and will be included in additional projects as the organization grows. Along with the necessary skills and experience, a passion for the Library, literacy, and the mission of Friends is a key attribute for the right candidate.

The ideal candidate will be:

Detail oriented

Organized and thorough

Able to work independently, self motivated

Familiar and comfortable with Google Drive/Docs/Sheets

Experienced with database management, Little Green Lights experience a plus!

Job responsibilities will include:

Membership database management (inputting/updating records, membership mailings, gift tracking, and general organization)

Managing office communication through email, voicemail, and postal mail

Maintaining the Friends supply inventory and ordering at all three library branches

Supporting meetings (attending, creating agendas, taking minutes, general organization)

Maintaining, creating, and organizing records and documents on Google Drive for the Board and Staff

Coordinating with volunteers on events, book sales, and other programs

Collaborating with the Executive Director and Board on goals for growth

Other duties as assigned by the Executive Director

General clerical tasks as needed
