What You Will DoCome join our world-class OMBUDS Office! The OMBUDS office is looking for an energetic, customer-focused Professional Staff Assistant (PSA) to join our group.The PSA will report to the OMBUDS Group Leader and will work to fulfill all aspects of the administrative functions of the group office and provide backup assistance for division administrative functions. The selected candidate will act as an interface between OMBUDS and other LANL organizations. Managing complex schedules and coordinating meetings (onsite & virtual) is a necessary skill for success in this position. The PSA will be expected to lead, manage, and complete special projects for the division; maintain a professional office atmosphere; assume responsibility with minimal supervision; and demonstrate accuracy, attention to detail, and confidentiality in all matters. This position requires a motivated performer who is capable of quickly changing focus and acting independently and is comfortable with a broadly defined scope of work.What You NeedMinimum Job Requirements:Professional ExpertiseWe are looking for someone with proven competence in providing senior-level administrative support and office management in a complex office environment by ensuring office coverage and schedule coordination, developing efficient and effective ways to organize and prioritize work, reviewing and prioritizing incoming information, and making decisions regarding appropriate triage. They must have experience in full calendar management, planning the logistics, and arranging for local and cross-organizations meetings.Business SystemsAdvanced level knowledge and experience with business systems including Microsoft Office Suite, to produce Word documents, Excel spreadsheets, and PowerPoint presentations for a variety of communications, memos, and presentations with significant responsibility for content. They will also demonstrate database management skills, e.g., to interpret data and information and to assemble data for shared resources and tracking. They also will be able to make adjustments to the Ombuds website.Decision MakingWe require someone who is able to work with limited oversight, taking appropriate initiative, and making decisions within defined boundaries to include making recommendations to office management based on policy interpretation. They will have experience in conducting research, analyzing problems, and successfully identifying and integrating creative ideas and solutions to enhance office productivity and ensure customer satisfaction.Personal LeadershipThis person must be able to work effectively in a dynamic office environment with the ability to calmly manage frequent interruptions and changing priorities; complete assignments with minimal guidance; and be available, dependable, and punctual. They must also demonstrate the ability to handle sensitive and in-confidence information with tact and discretion.Values and BehaviorsPositive working relationships and the demonstrated ability to network effectively with other administrative staff and key contacts outside their own area of expertise, both internal and external to the organization, are key to success in this position. This person will work in a team environment that requires close cooperation, adaptability, taking initiative in completing tasks, and willingness to provide support wherever needed.CommunicationExcellent communication and customer service skills both verbal and written, demonstrating the ability to interact effectively with all levels of internal and external personnel. Strong interpersonal, presentation, and written skills are required.Clearance AbilityAbility to obtain a DOE Q clearance, which generally requires US citizenship.Education/ExperiencePosition requires a Bachelor's Degree and two years related experience, or an equivalent combination of education and experience. Graduate coursework may be expected at this level.Desired Qualifications:LANL-specific knowledgeKnowledge of Laboratory structure and administrative processes/tools such as LANL procurement, LANL domestic and foreign travel, LANL Authorized Delegate Timekeeper, U-Train management, and other LANL specific trainings/knowledge.Experience working in a classified environmentWorking experience handling classified matter and serving as a classified matter custodian.Document Control/Records ManagementExperience as a document control/records management custodian and the application of this knowledge for the management, storage, and retention of documents and records both hard copy and electronica.Q-Clearance desiredNote to Applicants:

Work Location: The work location for this position is onsite and located in Los Alamos, NM.
