Description We are in the education sector, specifically within a university setting. We offer a dynamic hybrid work environment, with a combination of onsite and remote work. We are looking for an Executive Assistant to fulfill a short-term contract with the potential for extension. Responsibilities: Manage calendars for the Head of Finance & SVP of Office of Research, ensuring efficient scheduling of meetings and other commitments. Organize travel arrangements, providing detailed itineraries and parking information to the SVP. Process orders and manage office supplies for the stock room, ensuring a consistent inventory. Maintain an organized filing system for easy access to important documents. Draft initial versions of correspondence for the SVP and save talking points to existing Teams channel for future reference. Monitor the SVP's email account during their absence, alerting them of any urgent or time-sensitive matters. Plan and execute staff engagement activities such as appreciation events and holiday parties. Utilize software applications such as Concur, CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, and About Time for various tasks. Exhibit strong communication skills to effectively manage up and keep the SVP informed about his schedule.Requirements Candidate must have experience with executive-level support within the education industry, preferably a university setting. Proficiency in Microsoft Office Suites, including Microsoft Excel and Microsoft Outlook, is required. Experience with Concur, CRM, and 'About Time' software is highly desirable. Excellent calendar management skills, with the ability to coordinate complex executive meetings and events. Experience drafting and managing correspondence on behalf of executives. Familiarity with C-Suite level interactions and protocols. Strong documentation skills, with the ability to create, edit, and maintain important documents and records. Ability to handle confidential information with discretion. Strong interpersonal skills, with the ability to effectively communicate and interact with staff at all levels. Proven ability to work independently, demonstrating initiative and problem-solving skills. Bachelor's degree or equivalent experience in a related field is preferred.
