Project Accountant / Operations Coordinator

We are a dynamic and fast-growing construction and real estate development company specializing in custom homes and townhome communities in the Northern New Jersey area. Our team is passionate about high-quality design, transparency, and delivering excellence at every stage of a build. We are looking for a detail-oriented, organized, and proactive team member to manage invoicing, payment tracking, and contract follow-ups.

Position Overview:

As the Project Accountant / Operations Coordinator, you will play a critical role in supporting our financial and administrative operations. You’ll be responsible for reconciling invoices, organizing and tracking expenses, coordinating payments to vendors, and supporting project invoicing and change orders for clients.

Key Responsibilities:

Invoice Management:

Reconcile vendor invoices and statements with internal project logs

Input and track expenses from supply houses and subcontractors

Ensure timely and accurate payments to vendors

Financial Documentation:

Maintain and update spreadsheets for job-specific expense tracking

Assist with budget oversight and reporting to project managers

Client Billing:

Draft and send invoices for outstanding balances to custom home clients

Track received payments and update internal billing records

Contract Management:

Assist with preparing and distributing change orders, and Maintain organized contract files and logs

Follow up with clients on unsigned change orders and outstanding approvals

Qualifications:

2+ years of experience in construction accounting, operations, or administrative roles preferred

Strong proficiency in Excel and general comfort with cloud-based tools (Google Drive, QuickBooks, etc.)

Excellent attention to detail and time management

Strong communication and follow-up skills

Ability to work independently and take initiative in a fast-paced environment

Bonus Skills (Not Required):

Prior experience working with subcontractors and/or supply houses
