Responsibilities:

Serve as the CEO/President's primary point of contact, offering exceptional executive support.

Seamlessly coordinate travel arrangements to ensure smooth transitions.

Precisely manage and maintain the CEO/President's business and personal calendar.

Take charge of projects, demonstrating initiative and leadership.

Tactfully manage and prioritize email correspondence and responses.

Diligently monitor contacts and prioritize urgent follow-ups, maintaining a keen focus on key interactions.

Uphold the highest level of discretion and confidentiality in all matters.

Expanding on these core duties, your role will also encompass:

Crafting and refining correspondence and presentations, ensuring the CEO's communications are professional and concise.

Undertaking research, compiling critical data, and preparing documentation for CEO's review and presentation.

Scheduling and orchestrating meetings and events, complete with detailed agendas and minutes.

Independently handling incoming calls and correspondence when appropriate.

Organizing the CEO’s workflow and priorities, aligning tasks and projects with strategic company goals.

Acting as a liaison, ensuring clear communication between the CEO, staff, and external contacts.

Establishing and maintaining trust and support with senior management through adept communication bridging.

Creating and supervising a system to track the CEO's project progress and key initiatives.

Qualifications:

Proven experience as an executive assistant of at least 5 years in a corporate setting.

Exceptional organizational and time-management skills.

Proficiency in office management systems and procedures, as well as office software such as MS Office (Word, Excel, PowerPoint).

Strong communication skills, both written and verbal, with an emphasis on clear and concise communication.

Ability to handle confidential information with discretion and integrity.

Proven track record of effectively interacting with senior management.

Highly developed attention to detail and accuracy.

Strong research and reporting skills.

Excellent interpersonal skills with the ability to manage complex tasks and prioritize competing demands.

Proactive problem-solving abilities and analytical thinking.

Capability to work independently as well as part of a team.

Professional discretion and ability to handle sensitive situations diplomatically.

Flexibility to adapt to changing schedules and demands.

Strong project management skills, able to take initiative and lead projects as required.
