Position Overview:
We are seeking a reliable, organized, and professional Secretary to join our team. As the first point of contact for clients, this role requires excellent communication skills, strong computer literacy, and the ability to manage project information with accuracy and efficiency. The ideal candidate will work closely with our team to support day-to-day operations and help keep projects running smoothly.
Key Responsibilities:
Answer and direct incoming phone calls and emails in a courteous, professional manner
Communicate clearly and effectively with clients, vendors, and team members
Schedule client meetings, project appointments, and maintain company calendars
Learn and efficiently use company software to track project details, timelines, and documentation
Maintain organized digital and physical filing systems for project records and correspondence
Provide administrative support including document preparation, data entry, and general office duties
Assist with follow-up communications to clients regarding estimates, project updates, and scheduling
Qualifications:
Strong verbal and written communication skills; comfortable speaking with clients daily
Proficient with computers and Microsoft Office Suite (Word, Excel, Outlook)
Willingness and ability to learn company-specific project management software
Highly organized with attention to detail and accuracy
Ability to handle multiple tasks, prioritize responsibilities, and work in a fast-paced environment
Previous administrative or office experience preferred
Position Details:
