Position Overview:
A well-established commercial printing company in Hillside, NJ is seeking a proactive and detail-oriented Administrative Assistant & Invoicing Specialist. The ideal candidate will play a key role in supporting the Controller with financial operations, tracking special projects, managing inventory, and ensuring timely invoicing and reporting. This is an on-site position in a manufacturing environment.
Key Responsibilities:
Prepare, review, and send customer invoices accurately and in a timely manner.
Track and report on special client projects and deliverables
Maintain and manage specialized inventory records.
Generate and update aging reports for accounts receivable.
Assist the Controller with internal audits and compliance with government regulations.
Compile and total payroll hours for reporting and review.
Support general administrative tasks as needed.
Qualifications:
Minimum of 1 year of experience in accounting or administrative roles
Bilingual: Fluent in both English and Spanish (required)
Strong written and verbal communication skills
Excellent math and organizational skills
Proficient in Microsoft Word, Outlook, and Excel
An associate’s degree or higher preferred
Comfortable working in a manufacturing environment
