Client Services Associate / Administrative Assistant
Our Financial Advisor’s office is seeking an experienced administrative assistant to join our firm and to provide excellent customer service for our clients. As a Client Services Associate you will be responsible for providing administrative and operational support in a fast-paced financial planning office.
The ideal candidate might be someone who has experience with customer service and looks to advance his/her career. This position can grow in an environment where you can learn new skills, help people, and make a significant contribution to the team.
The Client Services Associate will assist the team in many areas of our financial planning practice, including answering in-bound calls, scheduling client meetings, preparing new account and service paperwork, managing multiple computer systems in a paperwork-intensive environment, providing customer service both in person and over the phone, facilitating and resolving client service requests, generating and mailing correspondence, and completing other administrative tasks as assigned.
Part Time 24-30 hours / week
Work remotely from home
Flexible schedule (preferably 9:00 AM – 2:00 PM - Monday-Friday)
Occasional visits to the main office in Reno
Responsibilities
Assist financial advisor with daily tasks
Excellent phone and communication skills with clients
Answer phones and transfer calls to multiple lines
Independently manage 500+ client appointments per year
Schedule in-person, Zoom and phone appointments
Manage the owner & financial advisor’s calendars
Facilitate and resolve client service requests
Apply a working knowledge of operations/client-service processes
Detailed filing of client documents and compliance files
Work independently, effectively, and efficiently
Preparing client reports
Scanning client files into paperless system
Assist clients with minor tech support
Handle confidential and/or sensitive information responsibly
Required Experience/Skills
At least three (3) years administrative experience
Detail oriented and able to work in a fast-paced environment
Committed to providing exceptional customer service
Completes tasks with attention to detail, accuracy and timeliness
High degree of comfort managing multiple tasks simultaneously
Strong character and a positive attitude
Highly skilled with Microsoft Office Suite
Strong tech experience with quick adaptation to new software
General skills in letter writing / professional emails
Experience with CRM systems (Redtail / Wealthbox / Sales Force)
