Buckwalter & Webb, a respected and established law firm in Kalispell, is seeking a professional, detail-oriented, and highly organized Receptionist/Legal Assistant to join our team.
Key Responsibilities:
Greet clients and visitors with professionalism and warmth
Handles the front desk entirely, answer telephone calls and schedules client appointments and follow up, speaks with new clients and conducts intakes to determine what potential clients the firm wishes to meet, coordinates all appointments with new clients in person and over Zoom, greet clients in person.
Answer and route incoming calls and manage front desk operations
Maintains electronic and non-electronic case files including scanning, copying, and filing.
Opens and closes case files in accordance with firm procedures.
Prepare and process legal documents and correspondence.
Handles all mail procedures, including all incoming and outgoing mail, scanning and filing of same, and ensuring time-sensitive documents are timely mailed.
Handles and manages online legal database system, records time entries, inputs new client information, creates new matters.
Handles all firm invoicing and billing, client account records, including recording all payments, retrieving and taking checks and monies to the bank, and overseeing overall billing and accounting procedures for the firm.
Manage billing, invoicing, and client account records
Schedule appointments and maintain calendars
Perform general office duties, including filing and document management
Qualifications:
Strong customer service and interpersonal skills are required to communicate effectively and professionally with all levels of personnel and external clients.
Strong reading and writing skills are required, must be able to type quickly, take down dictation, write correspondence without grammatical difficulty, and use basic software interfaces proficiently.
Excellent proofreading skills with a keen eye for detail.
Exceptional organizational abilities to manage multiple cases simultaneously. Strong clerical skills including typing, filing, and data entry.
Able to type quickly and work proficiently with all relevant software systems including Microsoft Office, Adobe Acrobat, Outlook, etc. Able to quickly learn legal software used.
Strong proficiency in document management systems and legal research tools.
Proficient in Microsoft Office Suite and other relevant software systems
Exceptional customer service and communication skills
Strong ability to multitask in a fast-paced environment
Experience with billing and invoicing (legal setting preferred)
Prior legal assistant or receptionist experience is a plus
Minimum Requirements:
High school diploma, associate’s degree + preferred
Minimum of three years of experience in an administrative role preferred but not required.
Valid driver’s license.
Working knowledge of Microsoft Office Suite, Adobe, and other similar software.
Excellent written and verbal communication skills.
Attention to detail and commitment to producing high-quality work.
Exceptional organizational abilities to manage multiple tasks, files, and deadlines.
Strong clerical skills including typing, filing, data entry, and scheduling.
Ability to work both collaboratively as a team and independently with minimal supervision and as part of a team in a fast-paced environment.
Some familiarity with legal terminology and procedures is helpful, and maintaining client confidentiality is paramount.
Schedule:
8:30 a.m. to 5:00 p.m., Monday through Friday, in person
