HR Generalist/Administrative Coordinator

Employment Type: Full Time

The HR Generalist will give focus to both administrative and strategic responsibilities, helping us to plan and administer important functions, such as staffing, training and development, and compensation and benefits. This role will assist in ensuring smooth and efficient business operations, identify areas for improvement and organize training opportunities for the team.

The duties may include communicating, relaying important information or policy changes from upper management, and implementing initiatives to enhance employee productivity.

Duties and Responsibilities:

Assist in developing and executing personnel procedures and policies, providing guidance and interpretation for business operations.

Participate in development of HR objectives and systems, including metrics, queries, and standard reports for ongoing company requirements

Assist in administering benefits, compensation, and employee performance programs

Suggest new procedures and policies to continually improve efficiency of the HR department and organization as a whole, and to improve employee experience

Ensure legal compliance of HR state and federal regulations and applicable employment laws, and update policies and/or procedures as required

Prepare paperwork, schedule, and facilitate smooth new hire onboarding process, coordinating with cross-functional departments to deliver an exceptional first-day experience

Handle all administrative tasks for onboarding, new hire orientation, and exit interviews, including entering data into HR information systems and auditing for accuracy and compliance

Provide an effective and dedicated HR advisory service to employees in relation to absence and health issues, conduct and capability, grievance matters, organizational change, and all other employee-relations matters

Process payroll, including; bi-weekly and semi-monthly updates to employee files, bonus/incentive pay, tracking vacation/sick pay, importing expense reimbursements, inputting exceptions, hourly employee validations, and benefit changes

Assist in the communication, interpretation, and upkeep of employee handbook, employee directory, and organizational chart, and contributes to the development of policies

Assist in training new staff

Filing and organizing records and other important documentation

Supporting the work of all office/production employees to ensure productivity, deadlines, and company standards are met

Reporting progress to senior management and working with them to improve overall operations and procedures

Collate and distribute mail

Write and edit documents from letters to reports and instructional documents

Create and maintain filing systems, both electronic and physical

Ensuring compliance with safety and professional standards within a facility

Coaching any employees struggling in their roles

Collaborate on organizing training and educational manuals for the production team

Maintaining communication between employees and senior executives to ensure procedures and policies are well-understood

Answering phone calls, transferring callers as appropriate

Greeting customers and visitors to the office, ensuring guests are comfortable and are connected with the right office personnel

Performs all other duties as assigned

Must collaborate with other administrators and support personnel, management and clients on a regular basis.

Education and Experience:

Bachelor’s degree in HR, business, or a related field

At least two years related experience required.

Additional HR training or experience is a plus

Advanced knowledge of MS Office and comfortable learning new technical systems as needed

Proven experience working in an HR department

Strong detail-oriented and resourceful mindset

Knowledge of HR federal laws and regulations
