Terracon has an opportunity for a Materials department administrative position in our St. Paul, MN office. In this position, you will interact with both our office and field personnel. This is a fast-paced position which requires multitasking use of phone, email, and text communication with a variety of personnel. Duties will include office administration, assistance with finalizing documents, proposal and project set-up, limited accounting, and scheduling of field staff. Our Materials department is expanding quickly and looking for team members that will help drive our office forward and find a new rewarding career!This position is eligible for a hybrid schedule with the ability to work from home 1-2 days per week.Essential Role and Responsibilities:

Duties as assigned including in assisting in reporting, training records, filing, and invoicing

Assist in proposal set-up in internal software, downloading plans, and inputting data into proposal templates

Assist in project set-up in internal software, registering projects, researching project specifications and project requirements

Plan, schedule, and dispatch technicians to project sites based on technician skill set, certifications, location, project, and priority

Create, maintain, and monitor daily schedules for dispatching to our technicians; modify and update schedules

Relay accurate information to technicians, ensuring proficient, quality customer experiences

Answers telephones, screens calls and forwards messages

Communicate effectively with clients and collect information accurately to create work orders

Responsible for maintaining quality standards on projects

Ability to multitask in a fast-paced environment – sometimes hectic during heavy workload

Follow safety rules, guidelines and standards for all projects. Participate in pre-task planning. Report any safety issues or concerns to management.

Requirements:

High school diploma or equivalent

Minimum 3-5 years of relevant experience or the equivalent in training and related experience

Experience with computer use and Microsoft Outlook, Word, Google Maps and Excel

Excellent written and verbal communication skills

Ability to work under pressure

Ability to learn new software quickly

Preferred Requirements:

Construction administration/Construction/Engineering background with understanding of building and construction terminology.

Customer service experience/background
