Job Description
The OpportunityThe Office Assistantposition will be a key member of the KIPP Minnesota team and will assist in our relentless pursuit to have every one of our students towards choice filled lives and self-sustaining careers. The Office Assistantwill support with office management, parent and family communication, student records and enrollment, attendance, meal tracking, and other tasks as assigned. This is a full time positionbased at KIPP Legacy.
Office ManagementOpen the office and close the office daily including help with transportation and arrival/dismissal logistics
Answer phone and messages in a timely and efficient way
Maintain a clear system via email for ensuring all messages are received and followed up on
Coordinate ordering office supplies/paper/toner/misc. items (for front office, supply closets, teacher workroom)
Manage Mailings (sort and deliver mail, open when appropriate, manage package arrival, prepare school mailings)
Coordinate service of copiers and printers as needed
Ensure that office is clean and organized
Greet and document all visitors (sign in, ensure students leave with authorized guardians, control access to school)
Interface with students and families on a regular basis
Work closely with the School Leader to create and maintain effective communication strategies with families
Call absent, tardy students each morning (ensure that staff is recording absences daily)
Manage all parent outreach initiatives (re-enrollment, calendar changes, school events)
Ensure all communication documents are kept in a centralized location
Send home a newsletter with staff contributions, announcements and important dates
Send regular updates to web designer & social media coordinator to update sites with current and relevant info.
Ensure staff record daily attendance in student information systems, call families of absent and tardy students daily
Record any suspensions or excused absences in the student information system
Work with the social worker to monitor and flag any students with persistent attendance issues
Coordinate breakfast, lunch, and snack ordering and distribution (including Saturday school and field trips)
Ensure each student has and is using their lunch number from the student information system
Collect and submit meal counts through CLiCS (keep an accurate historical record of CLiCS submissions)
Support other operations tasks as assigned including support of building cleanliness
