Executive Assistant

Description We are seeking an Executive Assistant to become part of our team in the healthcare sector, specifically based in Danvers, Massachusetts. In this role, you will be offering administrative assistance to a team of directors, managing various tasks such as processing expense reports, aiding with travel plans, and supporting onsite meetings. Responsibilities: Offer administrative assistance to a team of directors, most of whom operate remotely Manage travel plans for directors, ensuring their schedules are efficiently coordinated Process expense reports, ensuring precision and prompt submission Aid in the planning and execution of onsite meetings, which may include booking conference rooms and arranging meals Use SAP for procurement, generating purchase requisitions as necessary Utilize tools like Concur, Outlook, and SAP to perform tasks efficiently Ensure that all company equipment provided to the team is properly managed and maintained Communicate effectively with team members and other stakeholders, providing timely updates and responses Manage calendars, coordinating meetings and conference calls as required Handle correspondence on behalf of the team, ensuring detail-oriented communication at all times. Requirements Minimum of 5 years of experience in an Executive Assistant role within the Healthcare/NHS industry Proficiency in ADP - Financial Services is essential Familiarity with Cisco Webex Meetings for effective remote communication Knowledge of Concur for expense management Proficient in using CRM systems to manage client relationships Experience with Kronos Timekeeping System for accurate tracking of work hours Familiarity with About Time for efficient project management Strong calendar management skills to organize and schedule appointments Excellent communication skills, both verbal and written Experience conducting and managing conference calls Ability to handle and prioritize correspondence effectively Proficient in Microsoft Outlook for email and calendar management Knowledge of SAP for business operations and customer relations Proven experience in arranging travel bookings.
