We are seeking a detail-oriented and proactive Facilities/Office Services Specialist to support the daily operations of our office and facilities. This role is essential in ensuring a safe, efficient, and well-maintained workplace by providing administrative support, maintaining office equipment, coordinating services, and managing facilities requests. The ideal candidate thrives in a fast-paced environment, has strong organizational skills, and delivers top-tier customer service while managing multiple responsibilities.

PAY:$22-$24

Key Responsibilities

Facilities Management & Office Maintenance

Assist with daily office upkeep and cleanliness to maintain a professional work environment.

Coordinate routine maintenance, repairs, and service requests for office equipment, HVAC, lighting, and general infrastructure.

Oversee office space setup and reconfigurations, including furniture arrangement and workspace optimization.

Manage vendor relationships, ensuring service agreements and facility needs are met.

Ensure all office equipment (printers, copiers, kitchen appliances, etc.) remains fully operational.

Office Services & Support

Manage office supplies inventory, placing timely orders and monitoring stock levels.

Oversee mailroom operations, including receiving, sorting, and distributing mail/packages.

Provide support for office events, meetings, and internal functions, including setup and breakdown.

Respond promptly to employee inquiries related to facilities and office services.

Safety & Compliance

Ensure office compliance with health and safety regulations.

Conduct routine safety inspections and report any hazards or concerns.

Implement and enforce office safety protocols, including fire drills, emergency exits, and security measures.

Administrative & Vendor Management

Coordinate office space reservations and logistics for meetings and events.

Assist in managing the office budget for facilities services and vendor contracts.

Prepare reports on facilities activities, maintenance schedules, and service requests.

Serve as the primary point of contact for external vendors, service providers, and contractors.

Monitor vendor performance, address service issues, and negotiate contracts when necessary.

Special Projects & Additional Tasks

Support office moves, renovations, and workspace reconfigurations.

Assist with sustainability initiatives, including recycling programs and energy conservation efforts.

Picture hanging and minor office setup duties as needed.

Qualifications & RequirementsEducation:

High School Diploma required.

Associate’s or Bachelor’s degree in Business Administration, Facilities Management, or a related field preferred.

Experience:

Minimum of 2 years of experience in facilities management, office services, or a related field.

Experience with vendor coordination, office maintenance, and administrative support.

Skills & Competencies:

Strong organizational skills and attention to detail.

Excellent communication and interpersonal abilities.

Ability to prioritize tasks and work efficiently in a fast-paced environment.

Knowledge of office safety regulations and best practices.

Proficiency in MS Office Suite (Word, Excel, Outlook).

Problem-solving skills with a proactive and resourceful approach.

Physical Demands:

Ability to lift up to 30 lbs.

Comfortable moving or rearranging office furniture as needed.

Occasional standing, walking, and bending for office setups or events.
