Our client, a family care business located in Belmont, MA, is seeking an Executive Personal Assistant to join their team on a temporary to hire basis. The hours for this role are Monday through Friday 9:00am to 5:30pm, and it is compensating $35 an hour. Qualified and interested candidates are encouraged to apply today for immediate consideration.Responsibilities:Consistently communicate to ensure a constant, efficient flow of information from calls, emails, mail, and texts to keep the family advised.Coordinate daily mail, filing, scanning, photocopying, drafting correspondence, proofreading materials, etc.Professionally represent and interface with family's friends, relatives, teachers, doctors, and other important personal colleagues and advisors.Assist the family, as requested, with managing and maintaining complex personal, medical, and property calendars.Manage and distribute incoming and outgoing mail & packages, coordinate packing/unpacking, returns, and track credits.Plan, coordinate, and manage the family travel arrangements, including air, hotel, car service, meal service, and restaurant planning.Collaborate with the team on the seamless orchestration of small-to-large-scale events and communicate expectations to all vendors.Assist in paying and tracking expenses, preparing expense reports, and managing caregiver team payroll and reimbursements.Assist team members with scheduling appropriate daily caregiver coverage and assist in triaging schedule changes.Track insurance associated with personal property contents and handle all vehicle registrations, inspections, licensing, and routine maintenance.Qualifications:Bachelor's degree required.Relevant experience managing staff or in an office environment.Demonstrated experience maintaining a private employer's confidentiality, safety, security, and privacy.Tech-savvy: comfortable with all standard Mac Computers and internet skills, proficient with Microsoft 365, Excel Proficiency, Dropbox, QuickBooks Proficiency, Google Suite.Experience with movie editing software, website design, and a payroll platform a plusExcellent written and verbal communication skills.Extremely organized, detail-oriented, and dynamic self-starter.Displays a confident, take-charge approach balanced with compassion and empathy.Displays the highest levels of personal integrity, exceptional judgment, honesty, confidentiality, and discretion in representing the family.Beacon Hill is an Equal Opportunity Employer that values the strength diversity brings to the workplace.
