Job Description

We are seeking an experienced HR/Payroll Administrator to join our expanding organization! Our ideal candidate must be passionate about delivering an exceptional employee experience while fulfilling payroll responsibilities for the NAM Human Resources team and its customers. The successful candidate must be able to process bi-weekly payrolls for 1,200 employees in the US and Canada, Time & Attendance administration, 401(k) Plan administration (including annual 401(k) audits), and local stock plan administration for North America. This is an excellent opportunity for someone looking to provide direction on future system and process enhancements and to be involved in various HR initiatives beyond the payroll function.

Job Responsibilities

This position is responsible for, but not limited to, the following:

  • Ensure accurate bi-weekly payroll processing for hourly and salaried professionals in the US and Canada, including monthly commissions, bi-weekly expenses, and reporting
  • Prepare routine accrual reports for Finance on a bi-weekly, monthly and annual basis
  • Maintain Time & Attendance data via Kronos and Ceridian
  • With a strong emphasis on focusing on customers, support employee “walk-ins” and manage the payroll and benefits inbox, to ensure all inquiries are processed timely and accurately
  • Conduct New Hire Benefits Orientation for US & Canada
  • 401(k) Plan Administration, including oversight of annual 401(k) Audits
  • Support all company service and recognition programs, including but not limited to responding to day-to-day inquiries and coordinating recognition events
  • Address payroll and benefits mail, and support distribution of compliance notifications
  • Support annual Open Enrollment activities in Andover, Massachusetts, as well as Arlington and Round Rock, Texas
  • Support adhoc employment verification requests that cannot be processed via The Work Number
  • Lead annual stock plan activities, including calculation of tax liability on vested stock and distribution of stock letters, including awards and vesting options
  • Leads annual Workers Compensation audits
  • Identify and implement improvements to payroll processes and create work-instructions to ensure processes can be replicated accurately and timely
  • Process accurate and timely year-end reporting of W-2s, W-2cs, T-2200s and T-4s
  • Verify, remit and finalize the transmission of employee salary deductions for various retirement and benefit plans
  • Primary contact for routine Finance audits
  • Champion for company initiatives such as Let Them Shine
  • Ensure payroll reporting and payments are compliant with company policy, generally accepted accounting principles, and federal, state and IRS regulations

Minimum Qualifications

A strong work-ethic, good judgment, detailed oriented, analytical, organized, and able to efficiently work in multi-task in a fast-paced environment. While there is much collaboration within the HR team, this individual must also be able to independently drive tasks to conclusion

Aptitude to learn new technologies and comfort managing complex databases

  • At least 3 years of experience in processing payroll for a multi-state, multi-national organization
  • Experience processing payroll via ADP WorkForce Now and Ceridian desired
  • Experience administering Time & Attendance via Kronos and Ceridian Dayforce desired
  • Experience with SAP desired
  • Proficiency in Excel required
  • Strong desire to support our internal customers
  • Strong attention to detail with ability to meet deadlines

Bilingual in English and Spanish preferred

  • Ability to handle sentive and confidential employee information

Work Environment & Physical Demands

  • General office environment
  • During pandemic, will be required to come into the office on Mondays and Tuesdays to support in-person on-boarding activities, otherwise can work remotely during this timeframe.
  • May be required to move or lift heavy boxes of employee files.
