Visitor Receptionist Support Location MD - Aberdeen Proving Grounds Job Code 12240 # of openings 1 Apply Now (https://phg.tbe.taleo.net/phg04/ats/careers/v2/applyRequisition?org=AKIMEKATECH&cws=43&rid=12240) The Alaka`ina Foundation Family of Companies (FOCs) is looking for a Visitor Receptionist Support, for our government customer located in Aberdeen Proving Ground, Maryland. DESCRIPTION OF RESPONSIBILITY:
Create and or issue badges for new employees, visitors and other authorized personnel. Reissue badges to current employees daily.
Manage, troubleshoot, and operate unique security software (Medeco key system) daily to include: creating keys for new employees; informing new employees of their responsibilities in operation and safe guarding of the key, troubleshoot lock and user problems that may arise, issue day keys to visitors; and make changes to the system (e.g., renaming or adding cylinders, openings, etc.).
Report inventories, identify office supply shortages. Distribute supplies, materials and equipment to the requestor and/or place and neatly arrange supplies in the proper storage location.
Issue and maintain accountability of all temporary and visitor identification cards, badges, credentials and passes for all assigned employees and visitors daily. Input and update a computer-based system for the accountability of all controlled documents issued. Perform routine and special inventories of controlled documents (blank and turned-in identification cards/badges). Destroy and document the destruction of expired and turned-in cards/badges.
Manage, troubleshoot, and operate unique security software (Facility Commander) daily to include: issuing and creating security badges and visitor badges; granting additional levels of access to employees as approved by S2 procedures; and troubleshoot problems employees may have with the badge or accesses.
Perform administrative functions in support of S2 and USAMRICD personnel to include creating, modifying, and reviewing various Microsoft Suite & Adobe documents and presentations, ensuring accuracy of content and format IAW-AR 25-50.
Assist in coordinating and arranging conferences and special events, etc. for the S2 and Institute. This includes preparing agendas, assembling handouts, creating visitors sign-in sheets, requesting conferences rooms in VIOS, validating attendee credentials and notifying participants.
Compose technical and non-technical correspondence for inside the Institute and outside agencies. Prepare and review the format, composition and spelling of all outgoing S2 correspondence.
Monitor Closed Circuit Television and review camera footage when necessary.
Maintain, inventory, and issue all furniture keys throughout the Institute.
Serve as a key control officer by maintaining, inventorying, and issue all Institute keys. Conduct monthly or semi-annual inventories as required by regulatory guidance.
Conduct bimonthly new employee orientations to inform all new employees of the various security requirements at the Institute.
Complete monthly office safety inspections and report violations to the safety office. Briefs security requirements to Government employees and contractors concerning personnel access, clearance levels, access control systems, surveys, inspections, and facility security standards concerning the nature of work.
Assist the S2 in coordinating and documenting timely intelligence reports, threat statements, and intelligence assessments regarding terrorist threats to personnel, organizations and property. Analyzes vulnerabilities, evaluates friendly information/capabilities, and recommends security measures to eliminate or reduce the effect of specific or unconventional threats.
Assist in developing and implementing antiterrorism/force protection strategies including planning, training and briefing of personnel to eliminate or reduce the institute vulnerabilities to terrorist threats.
Other duties as assigned by Supervisor.
DEGREE/EDUCATION/CERTIFICATION REQUIREMENT:
High School Diploma.
REQUIRED SKILLS AND EXPERIENCE:
Three (3) years direct work experience with a minimum of two (2) years experience in MS Office Programs
Experience in the full range of administrative support services executing assigned clerical tasks (e.g. communications, typing, printing, graphics, library or publication services, mail, records keeping/filing, forms, report preparation)
Expert knowledge and use of person computer (PC).
Able to interact with diverse clientele, senior level managers such as high-level military and civilian medical, health care and technical personnel.
DESIRED SKILLS AND EXPERIENCE:
Experience with Timekeeping in ATAAPS, Defense Travel System, ARIMS and AIRS web Knowledge of DoD personnel security regulations.
REQUIRED CITIZENSHIP AND CLEARANCE:
Must be a US Citizen.
Must have or be able to obtain Secret security clearance.
