H.A Mapes is currently seeking an Office/Billing Assistant to join their growing organization. The Office/Billing Assistant will be an energetic professional who doesnt mind wearing multiple hats. This position will support day-to-day office functioning to include general office management, filing, billing, accounts payable and accounts receivable. Attention to detail and problem-solving skills are a must.

Office/Billing Assistant Responsibilities:

- Accurately gathering customer information and resolving customer billing and account issues.

- Collecting on accounts by sending invoice reminders and direct communication with customers.

- Performing daily data entry with accuracy and efficiency.

- Answering, assisting, and directing all incoming telephone calls to appropriate parties.

- Performing various clerical duties such as typing, filing, and sorting mail distribution.

- Using applicable software programs to create inventories, letters, and other business-related documents.

- Managing customer calls and emails regarding billing statements

- Researching and responding to inquiries regarding billing.

- Setting up and optimizing company pages within social media platforms including Facebook, LinkedIn, Instagram, etc.

- May coordinate travel arrangements, businesses lunches and other related duties and process firm bills for approval/payment.

- Providing administrative support when needed to staff.

- Managing and ordering office supplies.

Requirements:

- Minimum of high school diploma or equivalent.

- Two (2) years of billing, accounts payable/accounts receivable experience.

- Two (2) years of proven office and administrative experience.

- Proficient in Microsoft Office, specifically Excel, Word, and PowerPoint.

- Previous experience managing company social media pages preferred.

- Excellent customer service skills a must.

- Proven organizational skills.

- Exposure to the fuel industry a plus.
