The goal is to create a forever binding client-attorney relationship that will generate future employment of the Firm by former clients and newly referred clients from satisfied customers.

Position Summary

The Receptionist is the first point of contact for all clients of the firm. The Receptionist also sets the tone for the client experience. Receptionist must provide excellent customer service from the front desk, for in-person visitors and by telephone, in English or Spanish, as required.

Essential Duties & Responsibilities

The essential functions include, but are not limited to the following:

Greet and welcome clients and visitors as they arrive in the office

Answer phone calls and visitors inquires providing only basic and accurate information

Handle petty cash and take payments

Make notes in files of calls received, cash received; and other transactions

Scanning, photocopying, and faxing

Take calls / messages and direct them to specific employees

Schedule and Update calendars

Receive mail deliveries and packages

Ensure reception area and lobby is neat and orderly

Translations between clients and employees who have a language barrier

Every Saturday from 9a-12p (noon)

Other duties as assigned, including maintaining Covid-19 safety protocols

Minimum Qualifications (Knowledge, Skills, & Abilities)

Minimum High School Diploma or GED

1 year experience in an office environment is preferred

Basic computer hardware and software, such as Microsoft Office: Excel / Outlook / Word, knowledge, preferably

Advanced knowledge in client confidentiality, client contact, legal administration, legal compliance, litigation, administrative writing, documentation, word processing, verbal communication, and client relations

Some knowledge of legal procedures

Must be able to work with constant interruptions

Ability to understand legal documents / forms

Excellent written and verbal communication skills

Physical Demands & Work Environment

This position is largely stationary, except when moving about the office to make copies and scans. The person in this position frequently communicates with clients and staff regarding case updates. Must be able to exchange accurate information in these situations. Reasonable accommodations may be made to enable individuals with disabilities to perform the functions.
