Accounting Associate

Summary:

The Accounting Associate supports the Controller with a wide range of accounting and bookkeeping duties, including accounts payable, payroll processing, expense tracking, and vendor maintenance. This role is closely related to traditional bookkeeping and is critical to the smooth financial operations of the business. A key responsibility will also include managing and submitting certified payroll for applicable projects.

Main Tasks and Key Responsibilities:

Accurately enter and match vendor invoices in Microsoft Business Central

Process weekly payment runs (checks and ACH), ensuring timely and accurate payments.

Reconcile vendor statements, research discrepancies, and communicate with vendors.

Maintain vendor records, collect W-9s, and assist with annual 1099 filings.

Review, track, and process employee hours for payroll.

Support weekly and biweekly payroll runs, including certified payroll reporting and submission.

Maintain accurate and organized records of payables, payroll, and general accounting transactions.

Manage credit card reconciliation and employee expense reports.

Assist the Controller with month-end close duties, including journal entries and accruals.

Support audits and reporting requests as needed.

Suggest and implement process improvements for better efficiency.

Your Experience and Skills

Required:

High School Diploma or GED.

2+ years of experience in accounts payable, payroll, or general bookkeeping.

Strong understanding of accounting principles and general ledger functions.

Familiarity with certified payroll processes and requirements.

Competent with Microsoft Excel (formulas, filtering, data entry).

Strong attention to detail and ability to manage multiple deadlines.

Excellent communication and organizational skills.

Legally authorized to work in the United States.

Preferred:

Experience using Microsoft Dynamics 365 Business Central.

Experience with construction or manufacturing based industries.

Exposure to certified payroll tools or software (e.g., LCPtracker, eMars, or similar).

Familiar with digital document management systems (e.g., SharePoint).
