We are currently working 100% remote due to COVID. Expectations will be that this candidate will be expected to work from our Boise office in time. NIC Idaho is currently looking for an Administrative Assistant to join their team. NIC Idaho (DBA Access Idaho) is a wholly owned subsidiary of NIC, Inc. a well-established local IT company that provides internet-based, electronic government services to state and local Idaho government.

KEY RESPONSIBILITIES
  • Maintain front office presence; answer phones
  • Answer general inquires and disseminates information in a timely manner
  • Demonstrate and promote customer satisfaction
  • Opens, stamps and sorts mail for delivery to appropriate person
  • Set up new customers properly in the database with correct billing information
  • Email customers access information to gain access to requested application
  • Provide assistance to customers unfamiliar with application
  • Provide customer support via phones and email
  • Provide assistance and backup to the Customer Service team including assisting customers unfamiliar with online eGovernment services
  • Open checks received in office credit correct customer in database, record payments
  • Maintain vendor and customer files in CDB
  • Prepares bills, invoices, to be submitted to General Manager for approval and signature
  • Maintain, manage and document outstanding accounts payable, accounts receivable, and billing records
  • Set up and maintain customer and billing accounts including contacting customers with outstanding balances to ensure prompt payment
  • Receivables aging procedures; courtesy calls, delinquency letters, suspensions
  • Support financial month end close process
  • Liaise with corporate accounting team
  • Responsible for research and resolution of financial transactions (chargebacks)
  • Perform miscellaneous duties as required for both financial and front office management
  • Provide administrative and clerical support for Management Team
  • Order office supplies as needed or requested.
  • Perform miscellaneous duties, as required or assigned by manager
  • Adheres to HIPAA requirements on all confidential information
  • Some Travel May be Required

QUALIFICATIONS
  • Minimum 2 year secretarial or office management/administrator experience
  • Proficient in Microsoft Word, Excel and PowerPoint
  • Excellent customer service skills
  • Strong organizational abilities
  • Self-motivated
  • Desire to work in a fast-paced, entrepreneurial environment
  • Information Technology industry experience (preferred)

REQUIREMENTS
  • This position will be required to sit at a desk and routinely use personal computer, keyboard, mouse, etc. for prolonged periods of time. Occasionally, there will be a need to lift items weighing no more than 25 lbs.
  • Must provide internet speed test results equal or greater to 40MB/second.
  • Must be willing to use personal phone, as hotspot or to make calls (local and long distance), or commute to the office in the event of an emergency phone or internet outage.
