Job Description Summary:
Active Office environment. Providing in office support to our property management department with a variety of clerical activities and related tasks, Assistant will be responsible for ensuring a smooth work flow within the office while assisting with property management-related business. The qualified candidate will be reliable, detail oriented, proactive, and a self-starter who takes initiative to solve issues, while providing great professional customer service to tenants, vendors and owners. In this position, follow through, attention to detail, and ensuring deadlines are met is imperative. Property management experience is preferred but we are willing to train the right person. You will learn management systems on the computer. You will need to know how the ins and outs of computers since you will be on them alot and on the phone a lot.
Start Time - End of December
Daily Functions:
Answer phone calls, general correspondence
Receiving payments
Responsible for prompt and positive responses to tenant requests ensuring timely resolution of issues
Preparation, dispatching, and tracking of tenant work orders
Assists in data entry and inputting notes
Will act as receptionist, which includes answering multi-line phones, screening calls, and taking messages in a very fast paced environment
Will be trained on a variety of other functions and tasks, Will perform other duties as assigned and trained
Must have reliable transportation, driving to different locations is part of the job.
Job Requirements:
NO SMOKING
Knowledge of any management software is a plus
High School diploma or equivalent
3+ years general office experience
Good organizational, time management and customer service skills
Working knowledge of Microsoft Outlook, Word and Excel is required
Basic bookkeeping knowledge is preferred
Quick learner
Excellent verbal and written communication skills, including the ability to effectively communicate in a professional manner with all levels of management and staff while being flexible and collaborative
Ability to maintain discretion and confidentiality
The ability to learn new business-specific software programs as needed
Self-starter with strong time-management, organizational, and proactive problem solving skills
Must be able to work in a fast-paced, team-oriented environment with multiple deadlines while adapting to changing priorities
Able to deliver superior customer service to tenants and clients while developing and building effective working relationships
Understands and follow directions, and able to give direction when needed
Must be reliable, punctual, have a work appearance suitable for a professional office environment along with a pleasant demeanor
Education and Experience Requirements
High School diploma
Administrative Assistant experience
Experience in and working knowledge of business/office administration
Valid Drivers' License and reliable vehicle
PAY $15.00 DOE
