Job Description

Job Title: Project Manager

Report to: Executive Director

Brief Summary of Job: Responsible for all physical assets of the Nuhou and Waioli corporations, including the physical structures of buildings from foundation to roofing. Also responsible for the planning, coordinating and completion of construction projects. Coordinating structural, mechanical, electrical, plumbing, HVAC systems and associated RFP’s when necessary. Vetting the RFP’s, selecting the appropriate vendors, and executing contracts with vendors. Review in house processes for efficiency and implement cost saving measures where applicable. Knowledge of budgeting, ordering and shipping is critical to success in this position and the operation. Knowledge of handling, and restoring aged, historical structures with a reverence and respect is also critical to the success in this position. Ensure the upkeep of all public areas in accordance with maintaining an attractive and orderly museum property.

Essential Functions and Responsibilities of the job include but are not limited to:

Utilizing interpersonal and communication skills to lead, influence and encourage others;

Encouraging and building mutual trust, respect and cooperation among team members.

Conducting walk-throughs and visually assessing the safe and efficient maintenance and operation of the physical structure(s) of the museum, all mechanical, electrical, HVAC systems and any other related equipment.

Verifying completion of all routine maintenance on public spaces, gift shops and grounds.

Verifying completion of all restorations, repairs, replacement, and renovation projects to offices and employee work areas.

Adhering to all required purchasing policies and controls, including, but not limited to, all outside contractor bids, budgets, and schedules.

Follow prescribed safety procedures for personnel and equipment by the Museum and in accordance with OSHA.

Maintaining effective energy management and preventive maintenance programs and conducting special training for other operating departments on the safe and efficient use of equipment and energy on property.

Informing the Executive Director on a regular basis regarding the specific and overall condition of the building structure(s), related systems, and equipment offering prudent, cost effective proposals for maintaining these systems.

Oversee necessary projects, repairs and maintenance throughout the Museum and grounds.

Preparing technical data, bidding, project work, alterations, and repairs for properties. Must have basic knowledge of building codes.

Partnering closely with other departments within the museum to provide and ensure highest quality service to internal and external customers.

Handling complaints, settling disputes, and resolving conflicts with vendors.

Promote safe work practices.

Assist with the interview process…select, review, train and performance manage team members. Train new employees accordingly and include training completion documentation.

Provide assistance to other team members and departments to contribute to the best overall performance of the museum.

Perform other duties as assigned, requested or deemed necessary by the Executive Director.

Management retains the discretion to add or change the duties of the position at any time.

Supervisory Responsibility: Overall responsibility for supervision of all department team members and operations.

Independent Judgment Used: Frequently within the guidelines established by management.

Working Conditions/Environment: Access to the entire exterior and interior of the museum property.

Qualifications:

Knowledge/Education/Experience: Proficient in Microsoft applications. At least five (5) years of project management experience, including four (4) years in a supervisory capacity required.

Skills/Abilities/Other Requirements: English speaking. Ability to make timely, effective decisions. Ability to prioritize, organize and delegate work assignments. Ability to maintain good team member relations. Ability to develop and maintain effective vendor relations. Ability to direct performance of team members and follow-up with corrective action where needed. Ability to provide legible written communications. Ability to compute basic mathematical calculations. Dependable.

Physical Requirements: Frequently walking indoors/outdoors, climbing stairs and ladders. Repetitive bending, stooping, twisting, reaching, pushing, pulling, squatting, kneeling, crawling, lifting and carrying. Reaching above, at and below shoulder level. Lifting and carrying unassisted up to 50 lbs. or with use of dolly. Reaching above, at and below shoulder level. Must be able to stand and exert well-paced mobility for long periods. Must be able to exert well-paced ability in limited space and to reach other locations of the museum property on a timely basis. Exposure to chemicals. Must have finger dexterity to be able to operate office equipment such as computers, printers, multi-line touch tone phone, filing cabinets, FAX machines, photocopiers, dolly and other office equipment as needed.
