Position Type & Hours: Full-Time. Monday through Friday 8:00 a.m. to 5:00 p.m.

Position Overview
ProBuilt Hawaii is seeking a highly organized and detail-oriented Office Manager to support operations across all ProBuilt locations. This dynamic role involves overseeing office administration, managing data entry and clerical tasks, assisting sales teams and managers, and ensuring efficient customer interactions. The Office Manager plays a key role in streamlining the sales pipeline and enhancing customer service.
Upon successful training, the Office Manager will report directly to the Company President while also providing support to the General Managers at each location.
Key Responsibilities
1. Office Administration
Oversee daily office operations, including supply management, scheduling, and digital file organization.
Answer phone calls, manage emails, and respond to customer inquiries for all locations.
Prepare and distribute internal communications, memos, and reports.
Ensure compliance with company policies and maintain accurate records.
Manage company vehicle fleet, trailers, and equipment, including maintenance schedules, safety checks, registration, and insurance.
2. Data Entry & CRM Management
Accurately input and update customer data, sales leads, and project details in the CRM system.
Track sales activities, including follow-ups, pipeline movement, and status updates.
Generate and analyze CRM reports to support sales and management decisions.
3. Sales Pipeline & Customer Engagement
Work closely with the roofing and rain gutter teams to guide prospects through the sales process.
Execute follow-up campaigns, email outreach, and customer communication to drive engagement and retention.
Monitor pipeline progress and provide reports to management.
4. Scheduling & Coordination
Assist in scheduling customer consultations, project timelines, and team meetings.
Coordinate sales and production schedules across multiple locations to maximize efficiency.
5. Employee Onboarding & Training
Assist with onboarding new employees, including paperwork, clock-in apps, and HR coordination.
Provide basic training on CRM systems, platform integrations, and office procedures.
Develop and maintain Standard Operating Procedures (SOPs) for company systems and processes.
Offer ongoing system support and troubleshooting for employees.
6. Administrative Support for Management
Assist managers with administrative tasks, reports, calendar management, and vendor/customer communications.
Help organize and execute tasks, schedule meetings, and ensure follow-ups.
Serve as a liaison between departments (sales, management, accounting, and customers) to ensure smooth operations and top-tier customer service.
Perform additional duties as assigned.
Qualifications
Location: Must live on the Island of Kauai
Experience: 5+ years in office administration or a similar role.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Zoom, and CRM platforms (e.g., Acculynx or similar). Ability to type 60+ WPM.
Communication: Strong verbal and written communication skills.
Organization: Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
Customer Service: A customer-focused mindset with a commitment to excellence.
Team Collaboration: Ability to work effectively with managers, staff, and customers across multiple locations.
Compensation & Benefits
Pay: $70k+ based on experience
