Are you a detail-oriented, task-driven self-starter who thrives in a fast-paced environment? We’re looking for someone to manage the scheduling of all-day meetings and handle the calendars for a busy professional located in Kauai. This person you’ll support has between 75-110 all-day meetings per year, so staying on top of a demanding schedule is crucial. The role is intended for someone on Kauai, with flexible working hours, though you’ll occasionally need to be mindful of coordinating across two different time zones. We expect the role to be 15-20 hours per week to start, and you’ll enjoy the benefit of unlimited time off.

In this role, you’ll be in regular contact with CEOs and other high-level executives, so professionalism, attention to spelling and grammar, and prompt responses are essential. We’re seeking someone who takes ownership of their work, holds themselves accountable, and can work independently with little oversight. You’ll also be managing calendars, arranging travel for meetings, and working within an in-house CRM. Additionally, you’ll be responsible for attending and participating in company meetings (1-2 per week), using a task/issue tracking system, and reporting on 3-5 scorecard metrics, so an analytical mindset and attention to detail are key.

You’ll be part of a small, close-knit team, so being comfortable with collaboration and communication in a smaller group setting is important. We operate on a structured meeting schedule and agenda that allows plenty of opportunities to ask for help when needed, ensuring you have the support you need to succeed.

The person you’ll be supporting is an EOS Implementer, so you’ll be expected to learn and operate within the EOS (Entrepreneurial Operating System) framework. Don’t worry, we’ll teach you! This is a highly accountable environment, so being dependable and task-focused is a must.

Key Responsibilities:

          Manage and execute detailed scheduling and business development process for a professional leadership coach.

          Ensure all steps in the process are completed on time and with accuracy.

          Manage the calendars of this executive, ensuring all appointments and commitments are well organized.

          Arrange meeting-related travel, including flights, accommodations, and any other logistics.

          Track and report on 3-5 scorecard metrics, ensuring that performance is aligned with company goals.

          Communicate professionally with CEOs and executives.

          Work within a CRM to manage client data and schedule meetings.

          Look for opportunities to automate and streamline scheduling, calendar management, and metric tracking tasks.

          Be highly task-driven, accountable, and comfortable working with a small team.

          Learn and operate within the EOS framework, ensuring smooth operations and a highly accountable environment.

Inventory tracking and management

Qualifications

Executive administrative support experience

Strong organizational and calendar management skills

Proficiency in Microsoft Office, Google Suite, Outlook, and AI tools

Experience with event planning and project coordination

Typing and data entry skills, with attention to detail

Previous personal assistant or office management experience

Job Type: Part-time

Pay: $25.00 - $30.00 per hour, with potential for raises and bonuses

Expected hours: 15 – 20 per week to start, with potential for additional hours as company grows

Choose your own hours, but daily email monitoring M-F is required
