Job Description: Pediatric Medical Assistant

Job Supervisory Responsibilities: None

Key Result:

Provide exceptional clinical and administrative support that drives patient satisfaction, quality care, and practice efficiency

Key Objectives:

- Provide exceptional patient care through accurate documentation, communication, and efficient rooming.

- Assist physicians clinically with duties and procedures to uphold quality medical services.

- Promote patient education, engagement, and treatment adherence through clear instructions.

- Maintain smooth operations through administrative tasks, exam room readiness, and responding to inquiries.

- Facilitate continuous care, outreach, and regulatory compliance.

- Continuously upskill and stay current with best practices.

Key Responsibilities:

Patient Intake & Rooming

- Make patients feel welcome and informed

- Obtain accurate vital signs, including height, weight, temperature, blood pressure, and pulse

- Collect and document patient medical histories, allergies, and current concerns

Clinical Duties

- Administer vaccinations to patients according to established protocols

- Assist physicians in minor procedures, such as wound care, ear cleaning, suture and staple removal, and urinary catheterization

- Collect and process specimens for in-house laboratory tests as ordered

- Input and document screening information

Patient Education & Communication

- Provide age-appropriate education and instructions to patients and families regarding treatments, medications, and follow up care

- Answer patient and family questions, addressing concerns or directing them to appropriate resources

Documentation & Administration

- Accurately document patient visits, procedures, and instructions in EMR

- Input physician orders, refill medication prescriptions, and process referrals to specialists as directed

- Complete EPSDT documentation for Quest patients

- Assist with completion of school forms, work/medical leave forms, and pre-operative forms

Operational Support

- Clean and restock examination rooms

- Respond to patient messages and phone calls

- Participate in patient outreach and panel management efforts to improve patient care and practice efficiency

Compliance & Quality Assurance

- Maintain strict adherence to patient confidentiality and HIPAA regulations

- Follow established protocols, policies, and procedures to ensure patient safety and quality care

- Participate in continuing education and training to enhance skills and knowledge

Education: High school diploma. Prefer graduation from an accredited medical assisting program.

Experience: Prefer at least one year of medical assisting experience; private practice and pediatrics experience also preferred.

Other Requirements: National Medical Assistant Certification or Registration preferred.

Performance Requirements:

Knowledge

- Knowledge of medical terminology, anatomy, physiology, and pathophysiology. Knowledge of CDC vaccination schedule for children and adolescents. Familiarity with health care systems, regulations, policies, and functions. Understanding of documentation standards.

- Knowledge of equipment, supplies, and materials needed for medical treatment. Understanding of basic laboratory procedures, including preparation and screening.

- Knowledge of infectious disease management and control and safety standards.

Skills

- Skill in reading and following written and oral medical orders.

- Able to provide excellent customer service, both on the phone, via secure text, and in-person.

- Skill in initiating appropriate emergency procedures.

- Skill in handling a number of tasks simultaneously.

- Skill in administering vaccinations (oral, intramuscular, and subcutaneous routes).

Abilities

- Ability to use manual dexterity to perform medical treatments.

- Ability to establish and maintain effective working relationships with coworkers and diverse patient populations.

- Ability to perform mathematical calculations for drug dosages.

Equipment Operated: Phone, computer, electronic medical charts and practice management system, secure text messaging system, stethoscope, ear-washing instruments, blood pressure cuff, ear specula, and other pediatric nursing items. May help with patient's walkers, wheelchairs, pulse oximetry, and oxygen tanks.

Work Environment: Medical exam and treatment rooms and medical office. Environmental setting (lighting, temperature, air quality, acoustics) controlled.

Mental/Physical Requirements: Occasional exposure to communicable diseases and biohazards. Daily standing, squatting, walking, bending, and maneuvering. May require lifting up to 50 pounds to transfer/turn patient with/without assistive devices. Stress can be triggered by workload and difficult patients.

- Performing tests such as throat and nasal swabs, urinalysis
