Enrollment Assistant

Hawaii Technology Academy (HTA), a public charter school, seeks candidates for the position of Enrollment Assistant, based in our Registrar/Enrollment Office adjacent to our Waipahu Campus. The Enrollment Assistant is responsible for ensuring the effective enrollment of prospective students by processing admission applications, making follow-up phone calls and emails, and tracking applicant data through our online student information systems. The Enrollment Assistant will manage all aspects of workflows from prospective to enrolled student and ensure that families are promptly and accurately guided through the stages of enrollment.

Duties include, but are not limited to:

- Assisting returning families with the re-enrollment process, in addition to applicable re-enrollment requirements

- Assisting new families with creating new HonuHub accounts, registering for admission events, and completing the admissions and enrollment process

- Ensuring that admission and enrollment documents are reviewed for compliance and processed in a timely manner, and resolving any issues

- Providing information to current and prospective families about the admission process and procedures at Information Sessions and Campus Tours

- Ensuring admission events, such as Campus Tours and Information Sessions, meet the standards of the school

- Serving as the point of contact between prospective families and HTA

- Communicating with current and prospective families via phone, email, and in person.

- Tracking student applications from the start of the admission process to the first day of school, and documenting communication outcomes

- Accurately entering family and student personal demographics into the student information systems and maintaining the student database

- Requesting student records from other schools, creating student files, data entry, and filing

- Working collaboratively and communicating with the Director of Operations, enrollment assistants, the registrar’s office, office managers, counselors, student services coordinator, and admin team about issues that arise during the enrollment process; resolving issues and finding solutions

- Assisting the Registrar’s Office with the processing of student records

- Performing additional duties as assigned by the Director of Operations

Ideal candidates must be:

- Experienced working in an office and/or school setting in an administrative capacity for at least three years.

- Organized, able to work efficiently, and multitask in a fast-paced and high-volume service environment.

- Positive, personable, and flexible with a sense of humor

- A tech-savvy team player who enjoys working with others, but can also work independently

- Excellent in customer service, written, oral, and interpersonal communication skills.

- Meticulous in their attention to detail, a problem solver, takes initiative.

- Able to meet deadlines, set priorities, and successfully manage multiple projects at once; work well under pressure.

- Experienced and have demonstrated competency working with MacOS; proficient in Excel, Adobe Acrobat Pro, Google Suite Apps, online databases, and online meeting software.

- Adept in basic office skills such as typing, faxing, scanning, and filing

- Aware of Hawaii's geography and public/charter schools, and experienced working with and providing services to diverse populations

This is a full-time salaried 12-month HGEA Bargaining Unit 03 position based in Waipahu, HI (Oahu). Hours are Monday-Friday, 8:00 am - 4:00 pm, but may require after-school and/or weekend hours during the enrollment season (January-July) and occasional inter-island travel. Salary commensurate with experience and correlated with the HGEA salary schedule and bargaining unit. This position requires state and federal background clearance, as well as TB clearance.
