License and Certification Qualifications: None required.Education Qualifications: High school diploma or equivalent required. Bachelor's degree in related field preferred.Experience Qualifications: Three years in an office/clerical environment required. Experience in construction or a related field preferred.Skills Qualifications: Ability to communicate with a variety of customers in an effective and tactful manner; excellent written and oral communication skills; strong organizational skills; ability to manage multiple priorities; ability to follow oral and written instructions quickly and accurately; ability to detect and correct errors in standard English language usage; strong customer service orientation, interpersonal skills, and problem solving skills; excellent computer skills with word processing, spreadsheets, and databases; and ability to act as a representative of Gwinnett County Public Schools.Primary Responsibilities: Assist in the organization and coordination of all office administration for the Construction Department.1. Perform general administrative duties for the Construction Department.a. Generate various reports, forms, memos, and letters as required.b. Process electronic work orders coding, item orders, and/or purchase orders of varying types from oral and written requests.c. Manage and setup audio taping of project meetings.d. Generate reports and bid requests as assigned.e. Maintain a calendar for all department meetings related to Construction, Facilities Planning, and Contracts Engineering.f. Assist with audio/visual equipment as needed for special meetings and luncheons.g. Maintain SharePoint Project Management System and record archives.h. Assist with the retrieval of all documentation of planning and construction information.2. Perform general clerical duties for the Construction Department.a. Organize and maintain files including, but not limited to, office correspondence, inventory, and critical project documents.b. Process contractor pay applications, change orders, open records requests, invoices, and check requests accurately and quickly as assigned.c. Operate and maintain routine office equipment including, but not limited to, computer systems, scanners, and copiers.d. Organize and maintain departmental software and reference materials.3. Perform general financial and accounting duties.a. Maintain financial reports accurately and timely as assigned.b. Retrieve financial reports and information as requested.c. Furnish any applicable accounting documentation requested for annual auditing.d. Process monthly reports for U.S. Census Department for all projects.4. Communicate in a professional, courteous, and efficient manner.a. Act as the departmental receptionist both in person and over the telephone.b. Ensure that correspondence or other documentation sent from the office conforms to standard English language usage.c. Route incoming and outgoing correspondence accurately.5. Perform other duties as assigned. Physical Demands:While performing the duties of this job, the employee is frequently required to sit for extended periods of time.
