We are looking for someone to fill the role of Administrative Assistant, responsible for supporting the estimating & engineering department’s daily work activities. We are hopeful this candidate can advance to JR Estimator after training and working in this role for a while.

This position is responsible for coordinating the administrative tasks of preparing service and parts quotes, job set-ups and processing contractual change orders.

Responsibilities for this role includes:

-General Office and administrative support by maintaining organizational files and records

-Create and maintain detailed spreadsheets for various purposes within the department.

-Responsible for file setup and management, coordinating with stakeholders to get necessary information.

-Communication with company and customer personnel as necessary.

-Updating information in Salesforce and other internal systems.

-Preparation, ordering, and submittal of finish samples and submittal drawings.

-Proofreading and making necessary corrections to the bids prior to sending them out to the customers.

-Utilizes software and/or company tracking systems to keep bid information current and accessible to a variety of users.

Skills Needed for this role includes:

-Successful candidates must have prior experience working in a fast-paced environment.

-Previous experience involving construction sequences/schedules and project milestones is desired but not required.

-Candidates must be able to navigate architectural plans, specifications, and design drawings.

-Proficiency in MS Word, MS Excel are required. Google docs / suite preferred.

-This role requires exceptional time management skills as well as the ability to prioritize workload.

-Must be detail-oriented and a go-getter who can work independently, as well as efficiently function within a team setting

-Self-starter, problem solver and able to assess situations and react accordingly.

-Excellent customer service and interpersonal skills.

-Ability to develop a high level of personal credibility with employees and management.

-Must be able to handle sensitive/confidential information and situations with high ethics, confidentiality, diplomacy, patience and tact.
